Job description

Job Summary

The Childrens Hospital at The Leeds Teaching Hospitals NHS Trust is looking to appoint a highly motivated individual to the post of clerical officer. This role will play an integral part in supporting the CSU to ensure all waiting list data is accurate and validated regularly. The successful candidate would be required to work with spreadsheets and waiting list reports and have the ability to cross-check information across a range of systems. This role will also involve communicating with patients over the phone.

Main duties of the job

This role provides a high standard of clerical service and, where necessary, reception duties to the department, adhering to departmental guidelines and policies.

The successful candidate will undertake a range of clerical and administrative duties which will include receiving and checking documentation, reports and patient information, processing appropriately within departmental guidelines, entering information onto the appropriate IT system and retrieving information as and when required.

Job responsibilities

Full clerical support within the CSU, this will mainly include validation of multiple documents and waiting lists, escalating any concerns to the PSC/APSC team so they can be actioned. This post will involve communicating with patients over the phone. The role may also include booking and cancelling appointments when required.

Person Specification

Experience Essential

  • Can you describe how you have co-ordinated and managed a busy workload.
  • Describe the principles of good data quality.
  • What Microsoft office packages have you used before?
  • Previous experience in an office environment.
  • Competent keyboard skills to maintain a high quality, accurate and efficient service (keyboard/data entry).

Desirable

  • Have you got any experience using trust based information systems such as PAS/PPM+ and how have you used these?
  • Describe what kind of validation you have done before?

Skills & Behaviours Essential

  • Give an example of when you have used good interpersonal and communication skills in a previous job role.
  • Give an example of when you have used organisational and time management skills in a previous job role.
  • Why is team working important?
  • Describe a time you have had to handle sensitive and confidential information and how did you go about it?
  • What knowledge do you have of the Data Protection Act in relation to patient confidentiality and the appropriate care of patient information?
  • How could you use different IT systems to assess where a patient is in their pathway?
  • Describe a time when you have had to work flexibly and at short notice.

Qualifications Essential

  • GCSE Grade C or above (or equivalent e.g. AMSPAR Level 2 qualification) English and Maths.

Desirable

  • NVQ2 in Customer Care or an equivalent level of knowledge/experience.
