Convene | etc.venues is seeking a full-time Hospitality Coordinator to join their team at the County Hall location in Central London.

What will you do:

The Hospitality & Events Coordinator supports various aspects of meetings and events at a dedicated location, aligning with Convene’s vision, mission, and values, including our core principles.

  1. Communicate effectively via verbal and written correspondence with all levels of employees and clients, demonstrating GRIT in all interactions.
  2. Work dynamically, prioritize departmental functions, and meet deadlines.
  3. Approach all guest and employee encounters with attentiveness, friendliness, courtesy, and a service-oriented attitude.
  4. Enter and input visitor information accurately.
  5. Resolve desk requests and problems efficiently.
  6. Coordinate with the Operations Team and WP-Members; assist with reservations, catering orders, building requests, mail & package delivery, and onboarding new WP-Members.
  7. Lead show rounds when applicable.
  8. Assist with service execution including setup, breakdown, and support during peak periods.
  9. Coordinate setup and execution of functions with various departments.
  10. Maintain the Welcome Desk and coat room, ensuring cleanliness and organization.
  11. Organize Surprise & Delights for WP-Members and Site Tours.
  12. Order office supplies as needed.
  13. Check-in guests, manage proxies, and oversee the reception/nourish area.
  14. Escort meetings and guests when required.
  15. Manage lost and found items.
  16. Handle building requests such as cleaning.
  17. Assist the Conference & Events Manager and Chef with scheduling and administrative tasks.
  18. Develop and maintain positive relationships with building management, landlords, clients, and internal teams.
  19. Ensure adherence to Standard Operating Procedures and Brand Standards, supporting updates as needed.
  20. Utilize platforms such as Salesforce WXM Portal, ProxyClick, Envoy, GoParrot, Square, Robin, ZenDesk, Microsoft Office Suite, and Outlook.

What We Look For:

  1. Ability to work effectively with clients.
  2. Flexibility to work long and variable hours when necessary.
  3. Physical ability to move, lift, push, pull, and handle objects up to 25 pounds.
  4. Ability to reach overhead and below the knees, including bending, twisting, and stooping.
  5. Capacity to stand, sit, or walk for extended periods.
  6. Basic knowledge of Audio/Visual equipment setup and usage.
