Convene | etc.venues is seeking a full-time Hospitality Coordinator to join their team at the County Hall location in Central London.
What will you do:
The Hospitality & Events Coordinator supports various aspects of meetings and events at a dedicated location, aligning with Convene’s vision, mission, and values, including our core principles.
- Communicate effectively via verbal and written correspondence with all levels of employees and clients, demonstrating GRIT in all interactions.
- Work dynamically, prioritize departmental functions, and meet deadlines.
- Approach all guest and employee encounters with attentiveness, friendliness, courtesy, and a service-oriented attitude.
- Enter and input visitor information accurately.
- Resolve desk requests and problems efficiently.
- Coordinate with the Operations Team and WP-Members; assist with reservations, catering orders, building requests, mail & package delivery, and onboarding new WP-Members.
- Lead show rounds when applicable.
- Assist with service execution including setup, breakdown, and support during peak periods.
- Coordinate setup and execution of functions with various departments.
- Maintain the Welcome Desk and coat room, ensuring cleanliness and organization.
- Organize Surprise & Delights for WP-Members and Site Tours.
- Order office supplies as needed.
- Check-in guests, manage proxies, and oversee the reception/nourish area.
- Escort meetings and guests when required.
- Manage lost and found items.
- Handle building requests such as cleaning.
- Assist the Conference & Events Manager and Chef with scheduling and administrative tasks.
- Develop and maintain positive relationships with building management, landlords, clients, and internal teams.
- Ensure adherence to Standard Operating Procedures and Brand Standards, supporting updates as needed.
- Utilize platforms such as Salesforce WXM Portal, ProxyClick, Envoy, GoParrot, Square, Robin, ZenDesk, Microsoft Office Suite, and Outlook.
What We Look For:
- Ability to work effectively with clients.
- Flexibility to work long and variable hours when necessary.
- Physical ability to move, lift, push, pull, and handle objects up to 25 pounds.
- Ability to reach overhead and below the knees, including bending, twisting, and stooping.
- Capacity to stand, sit, or walk for extended periods.
- Basic knowledge of Audio/Visual equipment setup and usage.
