This is a fantastic opportunity to join our Corporate department on a permanent basis, providing first-class professional Legal PA support to a number of fee earners.
The Legal PA will be an integral part of a busy department, working principally for named fee-earners and as part of the EA/PA team with shared responsibilities. Team members are expected to prioritise, share tasks, and provide absence cover when necessary to meet business needs.
We seek an experienced Legal PA who can prioritise and delegate effectively, with strong communication, organisational skills, and the ability to work calmly under pressure in a fast-paced environment.
Role Responsibilities
- Proactively manage and maintain fee earner diaries, coordinate appointments, and organize meetings, including booking rooms, video conferences, refreshments, and taxis, ensuring fee earners stay on schedule and all materials are prepared.
- Arrange travel, produce itineraries, and manage expense claims.
- Manage fee earners' inboxes, monitor and respond to emails and post, prioritise correspondence, and route emails appropriately; respond to and file emails into iManage where possible.
- Communicate with clients to support relationships and handle queries.
- Answer external and internal calls professionally, taking detailed messages.
- Attend meetings to take minutes, record action points, and assist fee earners in following up.
- Assist with client onboarding, including drafting engagement letters and obtaining KYC and deposits.
- Manage workflow to the Document Production Centre, ensuring timely submission and return of dictations and documents.
- Review documents for amendments, comparisons, and proofreading to ensure accuracy and high standards.
- Perform typing and drafting tasks as needed.
- Lead departmental initiatives, including business development and internal projects, as directed by fee earners.
- Prepare account forms, CHAPS payments, and credit notes.
- Coordinate billing processes and financial reporting using Elite 3E, liaising with the billing team and prompting fee earners for necessary paperwork; assist with debt management.
- Manage client payments to ensure charges are correctly applied.
- Support pitch preparation, manage business development mailings, and coordinate events with the BD team and fee earners.
- Perform photocopying, scanning, filing, and indexing of legal documents.
- Ensure electronic and paper filing and archiving are kept up to date.
- Delegate tasks to Team Assistants where appropriate.
- Provide support to other EAs and PAs during absences.
About You
- Experience in a deadline-driven, high-performing legal team.
- Flexibility to work beyond contractual hours when needed.
- Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Excellent communication skills, both oral and written.
- Strong diary management, organisational, and time management skills.
- Professional telephone manner.
- Attention to detail and client service orientation.

- Team player.
- Experience with BigHand, Elite 3E, iManage, and Docusign is advantageous.
