Job Summary

The Director of Conference Services is a hospitality professional responsible for overseeing the planning, coordination, and execution of conferences, meetings, and events. Key duties include managing logistics, budgets, vendor relationships, and client expectations, acting as a liaison between clients and venue departments to deliver exceptional event experiences. Responsibilities include client consultations, space management, budget control, staff supervision, and post-event evaluations.

Minimum Requirements
  • Oversee and manage conference planning staff across five primary Conference Center locations.
  • Manage Conference Planners and Set-up Coordinators; delegate projects appropriately.
  • Visit all sites regularly to ensure client satisfaction and high customer service standards.
  • Maintain leadership qualities, motivate staff, and promote teamwork.
  • Work with Corporate Services management on client activities, financial reporting, and special projects.
  • Ensure facilities are maintained to standard, reporting upgrades needed.
  • Coordinate logistics for annual programs with training managers.
  • Establish and maintain professional relationships with clients through effective communication.
  • Maintain confidentiality, discretion, and good judgment.
  • Demonstrate strong communication skills, both oral and written.
  • Maintain knowledge of audio-visual equipment and collaborate with Multimedia team.
  • Work effectively with vendor groups including Catering, Multimedia, Property Management, and Security.
  • Coordinate with IT for technical setups and provide cost estimates for projects.
  • Adapt to changing priorities positively and promote the same attitude in the team.
  • Collaborate on special projects with the corporate office, including training and team-building initiatives.
  • Assist HR in employment processes, including interviews, verifications, and evaluations.
Responsibilities
  • Deliver premium service to high-level guests and meetings, training team members accordingly.
  • Coordinate daily team activities and reviews for task completion.
  • Address service issues promptly, resolving escalations effectively.
  • Assist with onboarding and integration of new team members.
  • Support and facilitate events and liaise with external vendors as needed.
  • Knowledge of catering setup and SERV Safe certification preferred.
  • Perform other duties as required.
