Job overview

The Agenda for Change rostering team at Royal Surrey NHS Trust is looking for a motivated and reliable individual to support the team in the administration of the e-Rostering system. You will be part of a small team delivering high quality service to all Agenda for Change staff in the Trust. If you are able to manage your own workload, enjoy problem solving and are looking for a new challenge then apply for this role.

You will be providing day to day maintenance of the e-Rostering system, including adding new records, making amendments and processing updates. You will also be troubleshooting queries from system users, providing a high level of customer service, resolving issues promptly and smoothly. You will develop strong working relationships across the trust and with external software providers, liaising with stakeholders to provide excellent customer service. Your role will support the e-Rostering team during system upgrades and improvement projects. Experience working in a fast-paced environment would be an advantage. You will also be organising training sessions, working with the team to ensure these run smoothly and that training materials are available.

Main duties of the job
  1. Act as the main point of contact for all Agenda for Change users of the Trust’s e-Rostering system.
  2. Responsible for the day to day maintenance, operational support and administration of the Trust’s e-Rostering system. This will include:
    1. The creation and maintenance of user accounts and system passwords in line with Trust policies.
    2. Adding new joiners, removing leavers, amending contracted hours and re-assigning postings in line with Workforce Notifications or as requested by ward/department managers.
    3. General system housekeeping such as updating Staff and Assignment numbers, Professional Registration numbers, NI numbers, user account checking and posting updates.
  3. Provide e-Rostering advice and support to staff at all levels.
  4. Answering sometimes complex and/or sensitive queries while remaining tactful and professional.
  5. Analyse data from the e-Rostering system alongside information from managers, in order to respond to queries and identify issues, escalating these where appropriate.
  6. Create and supply up to date documentation to support staff in use of the e-Rostering system and any associated products where required.
  7. Support the e-Rostering Manager in keeping the e-Rostering Trust Intranet page up to date.

Detailed job description and main responsibilities

JOB PURPOSE

To provide specialised knowledge and technical expertise to all users of e-Rostering across the organisation both clinical and non-clinical.

To provide a high level of customer service and excellent communication skills to all users of e-Rostering.

2.1 JOB SUMMARY

The post holder will be responsible for the provision, maintenance, operational and system support of the e-Rostering system.

The post holder will be expected to act on their own initiative and manage their workload in order to achieve expected results within agreed timeframes.

The post holder will ensure that confidential and sensitive information in relation to patients and staff is kept secure, and will follow the policies and procedures for the Department and the Trust.

Qualifications
  • GCSE or equivalent standard including Maths and English
  • NVQ 3 in Customer Service/Business Administration or equivalent work experience
Knowledge and Experience
  • Good working knowledge and experience of relevant electronic systems
  • Intermediate level knowledge of Microsoft Office Suite to include Outlook, Excel, Word and PowerPoint
  • Experience of problem solving to resolve issues quickly and effectively
  • Excellent communication skills – able to demonstrate effective listening, verbal and written skills and can demonstrate good standard of written communication
  • Able to self-direct and prioritise workload
  • Experience of working with an e-rostering system in a healthcare environment
