About the vacancy

The Driver Debrief Clerk plays a pivotal role in ensuring operational excellence within the Transport function by acting as the critical link between drivers and the wider logistics operation. This position aims to enhance the quality, safety, and efficiency of transport activities by conducting structured pre- and post-shift briefings, verifying regulatory compliance, and maintaining accurate and timely documentation.

The role contributes to business continuity and service delivery by ensuring all transport activities are fully recorded, deviations from standard operating procedures are captured, and drivers are properly supported to meet legal, customer, and internal performance standards. It also supports internal audits, contributes to health and safety compliance, and provides insights into operational performance through consistent reporting.

By maintaining clear communication channels and high levels of administrative accuracy, this role helps reduce the risk of service failure, regulatory breaches, and customer dissatisfaction, ultimately supporting the company’s commercial and reputational objectives in a competitive logistics environment.

Key Responsibilities
  1. Conduct end-of-shift debriefs with drivers to gather feedback, discuss incidents or delays, and confirm route completion.
  2. Brief drivers at shift start, including route instructions, schedule, customer requirements, and safety protocols.
  3. Verify driver license validity and ensure compliance with internal and regulatory requirements.
  4. Process delivery notes, POD documents, and associated transport paperwork accurately and within deadlines.
  5. Resolve customer POD queries, which can involve investigating issues and contacting delivery sites to obtain copies of PODs.
  6. Update YMS with inbound load details.
  7. Monitor and input any non-conformance issues into the system for resolution tracking.
  8. Record driver absences, escalating patterns of concern where required.
  9. Liaise with the wider traffic and transport planning team to address operational issues in real-time.
  10. Support customer service engagement when needed, ensuring courteous and helpful interactions.
  11. Maintain comprehensive logs and ensure secure handling of all documents and sensitive data.
  12. Interact with customers as needed, addressing inquiries, providing assistance, and maintaining positive relationships to enhance customer satisfaction.
  13. Work closely with the wider traffic team to ensure the efficient coordination of transportation operations, addressing any challenges or issues that may arise.
