Description

Brasenose College has an enticing opportunity for a Project Support Officer to join our busy Domestic Bursary, set in our beautiful, historic grounds just off Radcliffe Square in the centre of Oxford. Brasenose College is a friendly community of c. 250 employees (academic, professional and domestic staff). This role will offer the Domestic Bursar and the wider College support on a range of projects for the period of one year.

Responsibilities the post holder could expect but are not limited to, the coordinating of the furnishing phase at our latest refurbishment project at Frewin Hall. Alongside this, there are projects covering system deployments, namely purchase order systems within the Domestic bursary, ticketing systems in support of a busy workshop team, and communications/reporting of programme progress and capturing updates to sustain project momentum to avoid project slip in short windows of time between terms. Other projects throughout the year are also currently being prioritised and coordinating and communicating between stakeholders will play a vital part of supporting successful project lifecycles. Due to the nature of these projects, a project management qualification is required.

The role is offered as a full-time, fixed term contract for one year, working 35 hours per week, with an unpaid hour for lunch. Due to the nature of this role, evening and weekend work is to be expected occasionally in support of project works.

Job Description

Role

The focus of the post is the provision of project support and associated systems.

Main duties include:
Project Support
  • Under the direction of the Domestic Bursar and in close collaboration with other HODs act as a project support officer on DB led projects/systems, including but not exclusive to:
    • Coordinating on the Frewin Hall readiness for occupation in Michaelmas 2025
    • Developing and communicating the Brasenose programme to ensure full business capture.
    • Purchase ordering implementation
    • Maintenance request and booking in system
    • Property and art valuations.
  • Supporting the planning and execution of the projects which you are supporting by which includes scheduling tasks, risk and progress management, liaising with stakeholders, ordering and on-site coordinating.
  • Act as the driving force to ensure the efficiency on the overall success of each project. Using excellent communication, organisational skills, logical thinking and problem solving.
Health and Safety
  • Liaise with relevant managers and departments over College Risk Assessments.
  • To ensure risk assessment in area of work are completed, up to date and communicated.
Operations
  • To assist the Domestic Bursar in dealing with or investigating any project related queries or providing operational updates related to project impacts.
  • To support the Domestic Bursar and work with HODs where required.
Communications
  • As directed by the Domestic Bursar to respond or triage queries to the Domestic Bursar email inbox as necessary.
  • To support the Domestic Bursar with internal communications.
General Duties
  • The post holder will be required to be familiar with, and work in accordance with, all College’s policies and procedures.
  • To participate in training and development required by the College.
  • To be willing and prepared to undertake any training and other duties as directed by the Domestic Bursar. The job description may be subject to review in consultation with the postholder.
  • To be vigilant and take responsibility for ensuring all College property and equipment is kept safe at all times.
  • To ensure all personal data relating to individuals is kept confidential in accordance with College policies and relevant data protection regulations.

Person Specification and Criteria

Candidates will be assessed on the basis of the criteria set out in the section below and candidates should ensure that their application form provides evidence of how they meet these criteria.


Essential
  • Previous project experience working in an operational environment, collaborating with teams and strong stakeholder management with the ability to coordinate third parties effectively.
  • Proven experience of working calmly under pressure, with excellent prioritisation and organisation skills and ability to meet deadlines.
  • Experience in developing and implementing systems and providing on site support and procedures for systems of work.
  • Creativity, and imagination to identify and implement new ideas to re-energise the College’s commercial delivery.
  • Evidence of willingness and ability to take ownership and responsibility, with accountability for outcomes.
  • Excellent interpersonal skills to support internal and external communications, in person and in writing. Ability to demonstrate professionalism, personal integrity and authority.
  • Willingness to adopt a hands-on approach to ensure end to end delivery of project works is kept on time and budget.
Desirable
  • A project management qualification (certificate)
  • A good understanding of working in an educational setting.
  • A track record of delivering high standards of customer service and sound communications, in an education setting or other large organisation with multiple entities.

Summary of Terms and Conditions of Employment

Appointment: This is a fixed term full-time post and there will be an initial probationary period of three months. The appointment will be conditional on verification of the successful candidate’s ‘Right to Work’ checks in advance of employment commencing and subject to the receipt of satisfactory references and medical clearance through the University’s Occupational Health Services.

Salary: Equivalent to Grade 6 of the Brasenose College salary scale, currently £34,982 to £40,855 pa depending on experience. Advancement up the scale is on merit.

Hours of Working: Full time 35 hours each week. Due to the level of the post the hours of work are not prescriptive and the post holder is expected to be flexible to meet the demands of the job. Evening and weekend working as required.

  • Pension - Eligibility to the Universities Superannuation Scheme (USS). The successful candidate will be entered into this scheme automatically on joining, but on-going membership of the scheme is optional.
  • Salary Exchange Scheme - Staff who join USS will also be enrolled into the Salary Exchange Pension Contributions Scheme on or around three months after joining.
  • Annual leave – The paid holiday entitlement for a full-time contract is six working weeks (30 days) annual leave (5 days to be taken over Christmas break when College is closed) plus 8 Statutory Bank Holidays. Annual Leave shall be taken at mutually convenient times agreed in advance with the Domestic Bursar. Bank Holidays which fall within the full terms of the University of Oxford are normally worked, for which compensatory time- off in lieu will be given. The holiday year begins on 1 January and ends 31 December. For part years of service, the entitlement will be calculated as 1/12th of the annual entitlement for each completed month.
