Job description

The opportunity
Our client is currently seeking an experienced Document Controller to support our Engineering & Design Department by managing document control processes and handling essential office administration. The ideal candidate will have a technical background in engineering and experience within industry-related projects.

The role
The Document Controller will work closely with Engineering & Design Team Leads to support timely, accurate and high-quality delivery of departmental outputs.

Your duties and responsibilities will be:

  1. Manage data and document control activities for engineering projects.
  2. Handle the receipt and issue of project documentation and drawings using client document control systems (e.g. 4Projects, SharePoint).
  3. Ensure compliance with ISO9001 and ISO14001 standards.
  4. Maintain electronic filing systems for project and departmental documentation.
  5. Support general office administration in a dynamic engineering design environment.
  6. Assist with project handover documentation, including the assembly of Operation & Maintenance (O&M) manuals.
  7. Provide administrative and document control support to Engineers and Designers.
  8. Liaise with subcontractors such as 3D site surveyors as needed.
  9. Execute document control procedures and maintain version control using client-specified systems and portals.
  10. Contribute to the development and improvement of department-wide document control strategy.
  11. Maintain confidentiality of sensitive client and project information.
  12. Ensure effective project delivery aligned to quality, schedule and cost goals.
  13. Collaborate with design subcontractors and interface with internal departments (e.g., Electrical & Instrumentation, Technology, Mechanical).
  14. Proactively identify and implement process improvements.
  15. Mentor and support junior team members as needed.
  16. Deliver efficient and professional service to both internal and external stakeholders.

You will have the following qualifications and experience:

  1. Higher education in a technical or engineering-related field.
  2. Strong experience in UK construction projects.
  3. Familiarity with proprietary document control systems.
  4. Knowledge of M&E design practices, with a focus on E&I.
  5. Understanding of design processes and related documentation.
  6. Project lifecycle experience, including the build-up of O&M manuals (desirable).
  7. Skilled in data and administrative management procedures.
  8. Collaborative mindset and experience working in a multi-disciplinary team.
  9. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

It's great if you also have the following:

  1. Experience with collaborative software for document management (desirable).
  2. Familiarity with specialist document control software platforms is advantageous.

The setting for the role:
Risks and Hazards are in line with working on a pharmaceutical and chemical site. These can include noise, slips, trips and falls (high-gloss floors), mechanical hazards, extreme temperature and humidity, pressurised equipment, radiation, chemical, biological, explosive atmospheres, working at height and confined spaces during cleaning maintenance and repair.
