Job description

Our client, based in Teesside, is looking for a Document Controller to join their Engineering/Projects team.

Hours of work would be 08.00am - 4.00pm, Monday to Friday.

The Document Controller is responsible for managing and maintaining all documentation. This role ensures that all documents are accurately processed, organised, and readily accessible to support operational efficiency, regulatory compliance, and effective decision-making.

Responsibilities:
  • Implement and maintain document control processes and systems in accordance with company policies and regulatory requirements.
  • Responsible for policies and procedures on document control, including document numbering, revision control and review/approvals workflows.
  • Responsible for document transmittals to third parties. QA manage all incoming and outgoing documentation and communications.
  • Support audits and inspections by ensuring all documentation is current and properly archived.
  • Liaise with IT to ensure appropriate vendor support in place for the eDMS, through documented contractual specification and contractor performance management.
  • Train employees on document control procedures.
  • Receive, review, and distribute documentation, ensuring accuracy and compliance.
  • Create master document templates and forms.
  • Maintain an organised electronic document management system.
  • Converting paper documents to digital format by scanning them using software linked to the EDMS.
  • Update document control databases and ensure all documents are version-controlled.
  • Collaborate with all departments to facilitate document workflows and resolve any discrepancies.
  • Conduct regular audits of documentation to ensure compliance with industry standards.
Requirements:
  • 3-5 years of experience in document control or administration, preferably in the oil and chemicals industry or construction industry.
  • Experience in the selection and implementation of an electronic document management system.
  • Familiarity with engineering and maintenance documentation standards and practices.
  • Proficiency in document management software and Microsoft 365 environment.
  • Strong organisational skills and attention to detail, with the ability to manage multiple tasks effectively.
