Role Description:

The Management System Document Controller oversees and maintains all management system documentation for Venterra Group.

The role reports to the HSSEQ Systems Manager, supporting the development, implementation, and maintenance of the Group's integrated management system in compliance with legislation, ISO standards, and contractual requirements.

Key Responsibilities:

  • Manage and control the document structure and storage in SharePoint.
  • Maintain the Group Master Document Register, including metadata and revision control.
  • Ensure quality control and formatting of management system documents per standards.
  • Develop and maintain document templates aligned with brand guidelines.
  • Support the development of management system documentation.
  • Liaise with teams to develop and control policies and procedures.
  • Monitor revision cycles and document updates.
  • Provide training on document control processes.
  • Report on document system progress and outdated documents.
  • Create and distribute document updates and bulletins.
  • Assist in preparing data for system and performance reports.
  • Support internal audits on documentation standards.
  • Contribute to achieving HSSEQ targets and promoting system improvements.
  • Demonstrate experience with document control processes and systems.
  • Hold NVQ Level 3 in Business Administration or equivalent experience.
  • Have excellent written, procedural, and organizational skills, with high attention to detail.
  • Understand ISO 9001 clauses related to document management.
  • Possess strong IT skills, especially with MS Office, SharePoint, and Adobe.
  • Be fluent in English, both written and spoken.
  • Be enthusiastic, self-motivated, and adaptable to fast-paced environments.

Education/Qualifications:

  • Business Administration – NVQ Level 3 or equivalent work experience.
