Job Title: Document Controller
Location: Stafford
Contract Type: Permanent
Department: Project Controls / Construction - Energy Infrastructure Projects

Role Summary:

Our client is currently looking for an experienced Document Controller to join their thriving T&D Construction Division on a Permanent basis.

The Document Controller will manage, control, and maintain all project documentation in a timely, accurate, and efficient manner, ensuring compliance with National Grid standards, project requirements, and regulatory documentation protocols throughout the lifecycle of substation construction projects.

Key Responsibilities:

  • Maintain and control all project documents in accordance with National Grid's Document Management System (e.g., SharePoint, Aconex, or ProjectWise).
  • Ensure all documentation complies with National Grid's Engineering and Construction standards, specifications, and regulatory requirements.
  • Manage document workflows including review, approval, revision, distribution, and archiving processes.
  • Support the project team in the preparation, formatting, and submission of engineering drawings, reports, transmittals, method statements, and other technical documents.
  • Coordinate with contractors, consultants, and internal stakeholders to ensure timely document submissions and approvals.
  • Maintain up-to-date records of all incoming and outgoing documents and correspondence.
  • Control the numbering, filing, sorting, and retrieval of electronically stored or hard copy documentation produced by technical teams, project stakeholders, and suppliers.
  • Generate regular document control status reports and updates for project managers and stakeholders.
  • Assist in audits and ensure readiness for quality assurance checks and compliance reviews.
  • Track document versions, maintain revision control, and support document handover and closeout procedures at project completion.

Required Qualifications & Experience:

  • Proven experience as a Document Controller in construction or utility infrastructure projects; substation or power transmission experience is highly preferred.
  • Familiarity with National Grid standards (advantageous), NEC contracts, and UK regulatory frameworks, H&S and Compliance Documentation.
  • Knowledge of engineering terminology and drawing standards.
  • Training in ISO 9001 or project documentation QA/QC processes (advantage).
  • Strong knowledge of electronic document management systems (EDMS).
  • Proficient in MS Office Suite, especially Excel, Word, and SharePoint.
  • Excellent attention to detail, organizational, and communication skills.
  • Ability to work with cross-functional teams and under tight deadlines.
  • Understanding of construction project lifecycle, including commissioning and as-built documentation processes.

Working Conditions:

  • Office-based role
  • May require working extended hours to meet project deadlines.
