Job description

What will you be doing?

Subsea7 has an exciting opportunity for a Document Controller to join our team on a 12-month fixed-term contract, supporting maternity leave. This role will be based at our Old Kilpatrick, Glasgow office supporting global projects within our Pipeline Group (PG).

You will maintain and control PG’s Production Project documentation in line with our management system processes and work collaboratively with internal and external stakeholders to manage the lifecycle of project documentation.

  1. Set up and manage the PG document management system on the project (S7 & Subcontractor documentation)
  2. Review contractual requirements for document control
  3. Liaise with the Subsea7 Regional Document Controller
  4. Learn various Client EDMS as required
  5. Prepare, distribute, and record all project related documents; i.e. internal documentation, subcontractor documentation
  6. Ensure the project team is aware of specific project document control procedures, review cycles and periods, approaching due dates and deadlines.
  7. Support the PG Project team
  8. Coordinate and monitor all procedural and facilitating processes, including the training of the various project team members on both the internal and client EDMS
  9. Assist in the supply of documentation for mobilisation.
What experience would we like you to have?

  1. Relevant experience within a similar role, with ability to work to project or system procedures.
  2. Experience using business management systems.
  3. Proficient in Microsoft packages.
  4. A high level of communication skills, both verbal and written, maintains collaborative relationships at all levels across a multicultural global environment.
  5. Present a sense of credibility and professionalism, with the ability to inspire understanding and adherence among all participating project members to the outlined processes.
  6. Keen focus on detail and precision.
  7. Effective planning and organizational skills that facilitate the identification and prioritization of tasks while ensuring timely completion.
  8. Shows initiative with a focus on constructive improvements and efficient methodologies.
  9. Assume responsibility and initiative to manage tasks without oversight while staying open to assisting with team-oriented tasks.
  10. Skilled in reviewing work methods for continual development and improvement of efficient work methods and processes.
