Job summary

Purpose

The 132kV Networks Team is responsible for the design and delivery of 132kV and associated 33kV network infrastructure across the SP Manweb Licence Area. This includes grid and primary substations, overhead line (OHL) networks, and cable infrastructure projects that support the safe, reliable, and efficient operation of the electricity network.

As Document Controller, you will play a key role in supporting the successful delivery of these projects by ensuring that engineering, construction, commercial and project documentation is effectively managed throughout the project lifecycle. You will be responsible for the control, distribution, storage, retrieval and maintenance of project records and technical documentation, ensuring that information remains accurate, compliant, traceable and accessible to stakeholders.

Working closely with Project Managers, Engineers, Quality professionals and external delivery partners, you will help maintain governance and control of project information, supporting efficient project execution and regulatory compliance.

Responsibilities

You will be responsible for ensuring the integrity, accuracy and governance of project documentation across a portfolio of infrastructure, connection and network modernisation projects.

In this role, you will manage and maintain document control systems, project registers and filing structures, while administering digital document workflows within approved Document Management Systems (DMS). You will control document revisions, approvals, status tracking and distribution, ensuring all documentation complies with business procedures, quality standards, contractual requirements and industry best practice.

Working closely with internal stakeholders, contractors, consultants and suppliers, you will coordinate document transmittals and information exchange, monitor document workflows and proactively follow up outstanding reviews and approvals. You will conduct document audits and quality checks to ensure accuracy, consistency and compliance, while supporting internal and external audits through the provision of relevant documentation and evidence.

You will also coordinate the compilation, verification and handover of final project records, contribute to the continuous improvement of document control processes, systems and ways of working, and provide guidance and support to project teams on document management requirements and procedures.

Collaboration will be key, as you work alongside Engineering, Construction, Procurement, Commercial and Project Delivery teams to ensure the timely and effective management of project information.

What you'll bring

You will demonstrate strong organisational and administrative capabilities, with the ability to manage large volumes of information accurately and efficiently.

To be successful in this role, you will bring previous experience gained within a Document Controller, Records Management, Project Support or similar administrative position, ideally within an Engineering, Construction, Utilities, Infrastructure or other technical environment. You will have experience using Document Management Systems (DMS) and established document control processes, together with a sound understanding of document control principles, revision management and approval workflows.

Possessing strong Microsoft Office skills and be confident working with databases and information management systems, you will have excellent organisational skills and high level of attention to detail, with the ability to manage multiple priorities and deadlines while maintaining compliance and accuracy. Strong communication and stakeholder management skills are equally important, enabling you to work effectively across a range of teams and external partners. In addition, you will have an understanding of engineering drawings, technical documentation and project lifecycle documentation.

Whilst not essential, knowledge of quality management systems and document control standards would be advantageous. A qualification in Business Administration, Information Management, Records Management or a related discipline would also be beneficial, as would experience supporting large-scale Utility, Energy or Infrastructure projects.

As a minimum, you will demonstrate experience within an Administrative, Document Control, Records Management or Project support environment, together with the ability to manage large volumes of information accurately and efficiently. You will have previous experience working within a Utilities, Engineering, Construction, Infrastructure or equivalent environment, supported by strong IT skills, including Microsoft Office and electronic database systems (Autodesk Construction Cloud/Forma are advantageous). You will also have experience managing controlled documentation and records within a structured environment, alongside an understanding of engineering drawings, technical documentation and project lifecycle documentation.
