Job Description:

Job Purpose

Provide efficient and effective administrative management and co-ordination of Doctoral Training Programme (DTP) Awards. This includes recruitment of students, financial management, acting as the point of contact for students and academic staff in partner universities, and co-ordination of lab rotations/projects where appropriate.

Main duties and responsibilities

  1. Monitor DTP budgets to prevent overspend, review spending against available funding, and provide updates.
  2. Produce budget reports with financial forecasts and spend profiles for PIs, grant holders, and funding bodies, ensuring expenditure complies with funder terms.
  3. Lead student recruitment and selection processes, including advertising, managing applications, coordinating interviews, and recording outcomes.
  4. Support PIs and academics in managing the programme, developing administrative processes, and contributing to course design.
  5. Organise and clerking DTP committees, including drafting agendas, taking minutes, and following up actions.
  6. Plan and deliver lab rotations, mini projects, training programmes, and events, evaluating feedback for improvements.
  7. Act as the first point of contact for student queries, oversee financial aid, resolve student issues, and ensure access to university services.
  8. Create and update programme handbooks and manage communication platforms like Moodle and Microsoft Teams.
  9. Research and compile material for reports and documents.
  10. Establish communication networks among students, PIs, and supervisors across partner institutions, maintaining DTP web pages and media.
  11. Ensure compliance with university policies, regulations, and legislation.
  12. Collaborate with DTP colleagues on recruitment, induction, events, and administration.
  13. Perform other duties as assigned by the DTP Manager.
