SUMMARY

Regis College, a private university located 12 miles west of Boston, is well known for its graduate and professional studies offerings across all four schools of Nursing, Health Sciences, Arts & Sciences, and Business & Communication. Over 2/3 of all Regis students are enrolled in either campus-based or fully online doctoral, master’s, and professional studies programs, with approximately 700 new entrants and over 5,000 registrations each year. To support providing access to these continuing education opportunities, the position of Associate Director of Graduate Admission is integral to the enrollment team for our graduate, doctoral, second degree, bachelor completion, and certificate programs. Reporting to the Dean of Graduate Admission, the Associate Director participates in all recruitment/admission activities for these programs with defined goals. Organizes, executes, and assesses on- and off-campus and virtual programs. Oversees the admission review cycle for Regis doctoral, masters, certificate, and bachelor completion programs in all modalities in all four schools. Also responsible for advising Dean on matters such as academic program marketability, institutional marketing strategy, competitive analysis, international student climate, and government regulations with respect to admission.

Essential Functions

  • Oversee and serve as primary recruiter and contact for at least 10 graduate, doctoral, bachelor completion, and certificate programs. Review all candidate applications and manage completion activities, making appropriate acceptance or denial decisions within current policies. Consult with the Admission Committee of Dean/Associate Dean and Program Director/faculty to review and evaluate application credentials and render final admission decisions.
  • Responsible for converting a high volume of non-matriculated students into applicants and deposited students; requires tact, timing, and tenacity.
  • Participate in weekly marketing & communications meetings, requiring knowledge of target audiences, messaging options, and communication tools to align admissions and marketing efforts, boost ROI, and optimize inbound marketing strategies to generate qualified leads.
  • Work closely with the Associate Director of Graduate Systems & Operations to optimize software systems for managing and analyzing admission data, and for reporting.
  • Mentor and direct admissions team members on best practices for digital communications, creating outreach templates, and automating admissions work to improve yields and reduce manual effort.
  • Attend education and professional fairs, conduct interviews, follow up with inquiries, review credentials, and implement on- and off-campus events. Create post-event surveys to gather feedback on presentation impact and market trends.
  • Network with relevant organizations to establish professional connections, increase enrollment through partnerships, and promote Regis programs.
  • Oversee international applications, ensuring seamless processing and transition, and report on progress. Participate in international student task force and keep website updated with current international requirements.
  • Provide progress reports to the Dean, make recruitment strategy recommendations, and collaborate with the Graduate Enrollment & Affairs team on outreach efforts and marketing feedback.
  • Engage with prospective students via email, phone, and face-to-face, monitoring application status and coordinating with faculty and program directors.
  • Assist in creating a smooth transition for newly admitted students, including outreach, registration assistance, background checks, and re-admission processes.
  • Create and execute post-admission surveys, report findings, and conduct follow-up.
  • Conduct competitive analysis on graduate programs regarding tuition, duration, delivery, and recruitment efforts.
  • Manage students transitioning between program modalities, oversee program changes, and liaise with advisors and student services.
  • Review fully online programs regularly, report on application reviews and transfer credits, and support online program processing and training.
  • Manage digitized forms for program transitions, working with IT and faculty to ensure timely approvals.
  • Assist in training new staff, including policies, procedures, application processing, outreach, and interviewing techniques.

Qualifications

Skills/Experience/Training Required

  • Bachelor’s degree required; Master’s preferred. At least five years’ experience, especially with graduate admissions and adult students.
  • Experience with operational systems, website editing, and CRM preferred.
  • Excellent communication, interpersonal, and organizational skills.
  • Knowledge of Regis policies, graduate programs, accreditation, and licensing requirements.
  • Marketing experience and higher education administration knowledge.
  • Ability to follow up diligently, resolve problems, and develop solutions.
  • Strong communication skills, ability to build positive relations, and demonstrate creativity and resourcefulness.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Commitment to Regis’ mission and effective teamwork skills.
  • Valid driver’s license required.

WORKING CONDITIONS/PHYSICAL DEMANDS

  • Office environment, with travel and some outside work outside normal hours.
  • Use of computer requiring coordination.
