Job Purpose

We are seeking a highly organised and creatively skilled Desktop Publishing and Administrative Assistant to join our team at our beautiful Bloomsbury Square offices. This role combines a passion for design and layout with strong administrative support duties.

The successful candidate will be responsible for producing professional documents, presentations, and communications materials that reflect our brand standards, while providing efficient administrative support to the Real Estate and Accounts teams.

Reporting directly to the Office Manager, this role offers an excellent opportunity for a detail-oriented individual with proficiency in design software to contribute both creatively and operationally within a dynamic office environment.

Key Responsibilities
  1. Use desktop publishing and design skills - leveraging tools such as Adobe Creative Suite (InDesign, Illustrator, Photoshop), Microsoft Office, and AI-powered applications (Canva, Adobe Express, or similar) - to create clear, professional, and brand-consistent documents and presentations for both print and digital distribution
  2. Design content to support effective internal communications and visually engaging presentations.
  3. Maintain and update templates and brand assets to ensure consistency across all materials.
  4. Provide administrative support to facilitate smooth day-to-day office operations.
  5. Assist with office management duties as needed.
  6. Manage calendars and schedules efficiently, especially during busy periods.
  7. Support daily reception activities when needed, including handling phone calls, emails, and welcoming visitors.
  8. Coordinate meeting room bookings and ensure all necessary arrangements are in place.
Candidate Profile
  • Minimum of 5 years’ proven work experience in desktop publishing, graphic design, or a similar creative role, combined with administrative or office support.
  • Strong educational background (an academic degree from a recognized institute is a must), preferably with a focus on business administration, media, marketing, graphic design, or a related field.
  • Proficiency in desktop publishing and design software.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Proactive, positive attitude with a strong willingness to learn and adapt.
  • Outstanding interpersonal and communication skills, both written and verbal, with the ability to collaborate across teams.
  • Fluency in additional languages and international work experience are considered advantageous.
