Job role: Deputy Practice Manager  Job type: Permanent  Salary: £14.50-£17 per hour depending on experience  Location: St Georges Road Surgery, Coventry  Working hours: 30 hours per week (negotiable up to full time)

Overview

The Deputy Practice Manager will support the Practice Manager in all aspects of practice functionality, motivating and managing staff, optimising efficiency and overall performance, ensuring the practice achieves its long-term strategic objectives in a safe and effective working environment.

The role involves managing and coordinating staff, patient services, premises, safeguarding, health and safety, and compliance with CQC regulations. The deputy practice manager will lead all safeguarding administration, communication and audits. The post holder will play a key role in leadership, quality improvement, collaborative working and ensuring effective patient-centred service delivery.

We appreciate that our whole primary care system is struggling, which is causing a negative effect on patient care and staff happiness. We believe that we can turn this around by reimagining how primary care is delivered from the ground up by placing a focus on data insights, technology and clinical innovation. Ultimately, we want to improve patient access, patient experience and health outcomes to significantly increase the quality of care for our patients.

Job responsibilities
  • Support the Practice Manager in daily operations, ensuring staff achieve their responsibilities.
  • Provide leadership and guidance to staff, ensuring adherence to policies and procedures.
  • Oversee recruitment, induction, appraisal and staff development.
  • Manage performance, disciplinary and grievance processes.
  • Promote equality, diversity and inclusion, and contribute to a safe and positive working environment.

Governance & Compliance

  • Implement systems to ensure compliance with CQC regulations.
  • Lead safeguarding coordination for adults and children, supporting GPs and safeguarding leads.
  • Lead all safeguarding administration, communication and audits
  • Support clinical governance, QOF achievement, enhanced services and incident reporting.
  • Lead on health and safety, fire safety, risk assessments and statutory compliance (including Environmental Protection Act, Health & Safety at Work Act, etc.).

Operations & Administration

  • Manage clinical IT systems, ensuring data quality, information governance and IT security.
  • Guide staff in coding, searches, audits, and updating clinical templates.
  • Oversee referrals using ERS and liaise with external agencies.
  • Manage patient communications, website, and social media.
  • Monitor DNAs, complaints, contracts and service delivery performance.
  • Ensure confidentiality and effective management of patient records and data.
  • Support audits, research and service improvement initiatives.
  • Develop and embed policies, procedures and improvement projects.
  • Promote collaborative working with the PCN, locality and external partners.
  • Lead on practice marketing, patient engagement and participation group.
