Deputy Bed Manager/Senior Ward Administrator - Royal Brompton Hospital

An excellent opportunity has arisen within the Heart Division at Royal Brompton Hospital for an experienced administrator to undertake the role of Deputy Bed Manager and Senior Ward Administrator.

The candidate will need previous Bed Manager experience and experience supervising a team.

The ideal candidate will have excellent interpersonal and communication skills, be caring, detail-oriented, proactive, and able to work independently in a busy office environment. Good IT skills and the ability to adapt quickly to new databases are essential.

This service operates 7 days a week, including bank holidays, on a pro-rata basis, covering early, late, and long shifts.

Main duties of the job

In this role, you will manage patient admissions and discharges efficiently within the Heart Division wards. You will oversee patient flow, liaise with theatre, catheter lab schedulers, and external hospitals. Supporting and educating ward administration staff and training in all administrative aspects are also key responsibilities.

You will assist the Bed Manager with daily management of the administration team and collaborate with multidisciplinary teams to ensure adequate bed availability to meet patient needs daily.

Job responsibilities
  • Updating patient records on Epic/Apollo databases
  • Admitting, transferring, and discharging patients in real time using Epic/Apollo
  • Providing a point of contact for staff and patients by manning the ward reception during office hours
  • Patient identification following Trust policies, including attaching wristbands
  • Managing ward mail and outgoing correspondence, including re-addressing discharged patients' mail
  • Ensuring patient registration forms are completed and updated prior to theatre attendance
  • Booking patient transports and ensuring timely arrangements for admissions, discharges, and tests
  • Assisting with patient discharge planning alongside the multidisciplinary team
  • Scheduling follow-up outpatient appointments, including private outpatient services
  • Providing cover for other wards when necessary
  • Liaising with bereavement officers, social workers, and voluntary services to support patients
  • Supporting indirect patient care under supervision of registered nurses
  • Facilitating patient admissions, transfers, and discharges, ensuring adherence to infection control policies
  • Managing waiting lists and maintaining accurate bed status on the hospital system
  • Supporting complex delayed discharges and developing strategies to reduce patient length of stay
  • Communicating effectively with patients and families before admission
  • Handling cancellations sensitively and appropriately
  • Coordinating with homecare teams and managing administrative tasks for theatre preparations, transport, and documentation
  • Maintaining a clean, safe, and welcoming environment in clinical areas
