Job description

Join a leading research organisation as a Department Administrator, providing PA support to the Head of Department and coordinating administrative tasks across the science team. This varied role includes diary management, recruitment admin, health and safety coordination, and supporting departmental operations. A flexible, hybrid working environment is offered with the office based in Aberdeen.

Main duties and responsibilities

  • Arranging diaries and travel arrangements.
  • Obtaining eBIS budget reports.
  • Processing expense claims.
  • Maintaining an accurate up to date Department e mailing list, reporting and co-signatory officers list.
  • Assisting with co-ordinating Induction of New Starts, Visitors and Casuals according to new procedure. Duties may include tour of building and allocation of desk and facilities.
  • Arranging Department Meetings and other meetings as and when required, collating an agenda and taking minutes.
  • Assisting in arranging special science events when required.
  • Supporting HoD in liaison with HSQE to ensure staff receive all necessary health, safety, quality and environment training.
  • Other administrative tasks including the distribution of post and retaining stock of stationery consumables from stores.

Applicants to this role require

  • Previous experience within a similar role, coming from a strong administrative background.
  • Ability to use initiative, assertiveness and confident in abilities.
  • Strong organisational and communication skills.
  • Understanding of science / research sector due to nature of business.
