Job Title: Delegated Authority & Intermediaries Assistant

Reporting to: Senior Third Party Compliance Officer

Location: Bridgend

Position Type: Permanent, 35 hours per week

Hybrid: 3 days in the office, 2 days working from home

Job Purpose:

To support the Third Party Compliance Team in Luxembourg with data entry and general administrative tasks relating to Tokio Marine Europe (TME) third parties’ onboarding and monitoring and to assist in ensuring compliance with TMHCC International’s Delegated Authority and Intermediary Vetting Framework.

The role is based in Bridgend within the International Compliance Department, with a direct reporting line into the TME Senior Third Party Compliance Officer, based in Luxembourg.

Key Responsibilities:

  • To support the TME Third Party Compliance Team with all administrative matters relating to delegated underwriting reviews. This will encompass collating all information to assist with the performance of the due diligence review (both at entity-level and contract-level) for new and renewing arrangements and support, as necessary, the ongoing management of said arrangements.
  • To monitor the central TME Delegated Authority and Intermediaries mailboxes to allocate emails to the relevant individuals within the Team.
  • To assist the Team obtaining signed binding authority agreements (and other key agreements, as necessary) from all key stakeholders through DocuSign.
  • To provide administrative assistance to the TME Third Party Compliance Team and the TME Claims Manager (located in Barcelona) for the Delegated Claims Administrator due diligence reviews.
  • To assist with the Bordereaux process to ensure that bordereaux is being received on a regular basis for all delegated authority arrangements.
  • To assist the TME Third Party Team with the Financial Review process, ensuring financials have been uploaded and review templates have been created for finance to complete as and when requested by the Team.
  • To assist with the production and maintenance of the annual Audit Schedule. This includes arranging the audits with external audit firms and assisting the TME Third Party Compliance Team in following up on recommendations to ensure that they’re closed within the required timeframes.
  • To be responsible for the QC and monitoring process by checking for any procedural breaches and carrying out additional checks on renewing agreements.
  • To assist with the Intermediaries’ due diligence reviews, the Terms of Business Agreements (ToBA) process, potential escalation process, requesting signatures through DocuSign and archiving of documents, etc.
    • To perform the data entry for all third parties (DA, audits and intermediaries) into the Customer Relationship Management (‘CRM’) system, which houses a central database for all third parties, ensuring an accurate and complete record is maintained.
    • To assist in the continuing development of the CRM system to ensure that it remains an effective third-party oversight system.
    • To review D&B RACI alerts and inform the TME Third Party Compliance Team of any tasks which require actioning.
    • To provide input to Compliance Reports and provision of management information for reporting to various committees, as required.
    • To maintain the TME Third Party folders ensuring the files are organized in accordance with the required folder structure, and a complete record is maintained.
    • To build and maintain a strong relationship with the International Compliance Department and all appropriate business units, as necessary.
    • To complete ad hoc delegated authority and intermediary and where necessary other compliance-related tasks as requested by the Senior Third Party Compliance Officer.

Performance Objectives:

  • Daily monitoring of the central mailboxes.
  • Regular follow-up of all outstanding delegated authority and intermediary matters.
  • Timely follow up of audit recommendations.
  • Accuracy and completeness of the TME records within the CRM system.
