Job description

Insight Investment is looking for a Records Management Coordinator to join the Data Management team in London for an interim contract.

The Interim Records Management Co-ordinator will play a critical role in ensuring compliant, efficient, and consistent management of business records and data across all areas of the Insight Investment organisation. This includes adherence to FCA regulations, GDPR, internal retention schedules, and operational risk controls. The coordinator will act as a central contact for records management practices across investment, compliance, legal, operations, and technology functions.

This role will look at setting up best practices and educate the business as they enter into the next chapter of their data management journey. It is an ideal opportunity for a detail-oriented professional with experience in records management, data lifecycle oversight, and governance frameworks within regulated financial services.

Role Responsibilities

  • Ensure that records (digital and physical) are captured, classified, and filed when created or finalised, in accordance with policy and regulatory requirements.
  • Apply the firm’s retention schedules consistently and ensure review of records subject to event-based retention periods.
  • Coordinate and document secure disposal of records that have met their retention period, unless subject to a Legal Hold.
  • Support the operationalisation of the firm’s Records and Data Retention Policy across business units.
  • Promote use of centralised records tools, archive solutions, and secure destruction services
  • Ensure records and data practices comply with applicable UK regulations, including: FCA SYSC requirements, GDPR and UK Data Protection Act, MiFID II recordkeeping standards.
  • Assist with the oversight and proper retention of electronic communications (including emails, trading records, and investment decisions).
  • Respond to internal audit, risk, and compliance testing on records management controls.
  • Identify and escalate gaps in records retention or governance practices, and collaborate on remediation plans.
  • Act as the liaison between business teams and compliance/IT for data lifecycle queries.
  • Provide training and awareness sessions on records management best practices and obligations.
  • Engage with business leads to encourage periodic review of records and appropriate disposal of outdated material

Experience Required

  • Prior experience in a data or records management role within financial services, ideally in asset management or investment firms.
  • Knowledge of relevant UK regulatory frameworks, including FCA SYSC, MiFID II, and GDPR.
  • Familiarity with electronic records/document management systems (e.g., SharePoint, Diligent, iManage).
  • Strong attention to detail, documentation discipline, and ability to manage sensitive data.
  • Strong stakeholder management and communication skills across business and technical teams.
  • Experience in managing Legal Holds and information governance policies in a regulated setting.
  • Professional certification in records or information management (e.g., IRMS, ICRM, AIIM, CIP).
  • Understanding of data classification frameworks, digital archiving practices, and metadata tagging.
  • Exposure to audit readiness and operational risk management functions
