The Data Entry Officer will need to liaise in a professional manner with colleagues, visitors and patients and undertake a range of duties to support the smooth running of the department.
The emphasis within the Service will be on team working, sharing of knowledge and experience for the overall benefit of the organisation. Also, to ensure that through personal development the post holder should assist in the implementation of Health Board policies and procedures in order to achieve the Board objectives.
Liaise with patients/ professionals within the Trust, LA and external agencies. Use communication and interpersonal skills to foster good working relationships. Handle routine information with tact, persuasion, and empathy, especially when dealing with distressed clients and carers. Reception duties, including meeting and greeting clients and visitors. Use judgment skills to seek advice for urgent telephone calls. Organise daily work processes as part of a team, providing admin support to the LPMHS. Filing. Maintain filing systems and databases. Receipt and distribute mail for the department. Undertake photocopying and liaise with colleagues/departments as required. Undertake data entry, including making and outcome appointments. Use Health Board and Local Authority clinical systems frequently.
Deal sensitively with clients in person and via telephone. Handle distressing circumstances and highly sensitive correspondence. Work within standard operating procedures, using initiative when unsupervised or off-site. Ensure safe use of all equipment, reporting faults to the Team Leader. Secure all work areas before leaving at the end of the day. Participate in performance appraisals and maintain a personal portfolio. Save and store electronic information as per Directorate procedures. Assist the Administration Support Manager with departmental audits as required.

This doesnt mean essential; whilst the candidate doesn't need to have skills in Welsh, we'll consider it an advantage when short-listing and selecting candidates. This isnt fluency, just Speaking & Listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health.
Qualifications and Knowledge
NVQ II in administration subject or relevant experience, skills and knowledge.
RSA II typing qualification or equivalent relevant experience.
Knowledge of administrative and clerical procedures and database use.

Ability to travel to any site managed by the Mental Health Directorate in a timely manner.
