Job Description

In this role, you will be responsible for managing HR data integrity, responding to audit recommendations, overseeing HR-related projects, leading the annual Senior Managers and Certification Regime (SMCR) re-certification process, and driving process improvement and automation initiatives within the HR function.

1. Data Management:
o Maintain and enhance HR systems integration, ensuring accuracy and integrity of employee data in compliance with UK laws and regulations.
o Conduct regular audits of HR data to identify discrepancies and implement corrective measures.
o Create and maintain data entry guidelines to optimise data capture processes.
o Analyse and report on internal and external survey Benchmarking data (Opinion surveys, Inclusion Survey, City HR benchmarking, Aon McLagan compensation benchmarking)
2. Audit Recommendations and Compliance:
o Respond to audit recommendations related to HR data management and ensure timely implementation of corrective actions.
o Be responsible for the implementation and oversight of a control framework for HR processes
o Prepare compliance reports for internal and external audits, ensuring alignment with UK employment laws and data protection regulations.
3. SMCR Re-Certification Process:
o Lead and coordinate the annual SMCR re-certification process, ensuring compliance with FCA guidelines.
o Collaborate with relevant stakeholders to gather and verify data required for certification.
o Prepare documentation and reports for submission to regulatory bodies as needed.
4. Reporting and Analysis:
o Generate and analyse HR metrics and reports to support decision-making processes.
o Maintain a close relationship with the Finance department.
o Manage financial and headcount planning – budgets, forecasts, quarterly business reviews, updates to Capacity Planning (“CaPla”) and the validation thereof
o Develop dashboards to effectively communicate HR data insights to stakeholders.
o Assist in the preparation of compliance reports for various stakeholders.
5. Payroll controls:
o Ensure input / changes file for the monthly payroll is accurate and provide a four-eye review
o Management of the IR35 process for external consultants.
6. Project Management:
o Lead and coordinate HR projects from initiation to completion, ensuring alignment with departmental goals.
o Collaborate with cross-functional teams to implement HR initiatives and projects effectively.
o Monitor project progress, manage timelines, and report on project status to stakeholders.
7. Process Improvement and Automation:
o Identify opportunities for process improvements within HR systems and workflows, with a focus on automation to enhance efficiency – use Excel macros, Power Automate etc.
o Stay up-to-date with HR technologies and trends to recommend and implement automation tools that streamline HR processes.
o Develop and implement best practices for data management and HR operations to drive continuous improvement.
8. Data Governance:
o Ensure adherence to data protection regulations, including the UK General Data Protection Regulation (GDPR), and internal policies regarding employee information.
o Develop and implement data governance frameworks to manage HR data lifecycle.
o Vendor management, including Edays and Moorepay, to keep everything coordinated.
o Provide training and support to HR team members on data management best practices.

Required Skills/Qualifications/Experience


• Minimum of 5 years of experience in HR data management, analysis, or project management.
• Commercially minded, strong numeracy and grasp of data
• IT literacy – strong Excel skills are essential
• Strong proficiency in HRIS (Human Resources Information Systems) and other data management tools.
• Inquisitive with an enquiring mind.
• Exceptional analytical and problem-solving skills
• High degree of accuracy / strong attention to detail
• Ability to communicate ideas and data clearly.
• Ability to multi-task and delegate appropriately, while also being able to roll up sleeves when necessary, ensuring the job is always done to a consistently high standard.
• Ability to implement processes and procedures to a high standard.

Desirable
• Previous experience in the financial services (ideally investment banking) industry.
• Familiarity with the Senior Managers and Certification Regime (SMCR) is highly desirable.
• Professional HR qualification(s) CIPD or similar certification
