Position: Corporate Receptionist - Mobile

Location: Derby

Hours: 40 hours per week, Monday to Friday, between 7 am - 7 pm

Role Purpose

We are seeking a highly self-motivated and passionate team player with excellent attention to detail. The primary focus of this role is to serve as a single, visual point of contact for client visitors and employees, acting as the main interface between internal stakeholders and our client Rolls-Royce across multiple sites. The role involves providing high-standard services and representing the client and JLL values in appearance, presentation, and manners.

You will take ownership of the front-of-house experience, help orient and settle new and visiting staff, support the facilities management team in creating a great workplace experience, and assist with business-related events and community initiatives.

This role requires strong stakeholder management, relationship building, continuous engagement, communication skills, and proactive support for staff, clients, and business partners. Your ability to resolve queries and issues proactively is crucial for success.

Key Responsibilities

  1. Provide exceptional customer service.
  2. Greet visitors at the main reception.
  3. Record visitors on site and issue security passes to external guests and contractors.
  4. Follow standard operating procedures across corporate facilities.
  5. Process room bookings and video conference requests, providing support documentation to relevant departments.
  6. Produce monthly utilization statistics.
  7. Handle guest Wi-Fi requests via the online system.
  8. Lead emergency evacuation procedures and manage safety during emergencies.
  9. Manage personnel working outside of core hours to ensure safety and wellbeing.
  10. Address issues outside of core hours, escalating as needed.
  11. Make decisions and communicate with personnel outside of core hours.
  12. Handle incoming and outgoing mail and courier items.
  13. Manage site stationery supplies.
  14. Raise work requests for maintenance and cleaning services.
  15. Book visitor parking spaces.
  16. Support reception and meeting room operations as part of a flexible team.
  17. Perform basic administrative tasks.
  18. Review and suggest improvements to procedures and processes.
  19. Ensure compliance with SLAs.
  20. Propose suggestions and initiatives.
  21. Deliver first-class service within the facility.
  22. Support site activities and manage onsite AV/IT equipment, assisting with issues as needed.
  23. Ensure meeting spaces are prepared to standard.
  24. Respond efficiently to customer requests.

Person Specification

  • Flexible, proactive, and passionate about customer service.
  • Experience in front-of-house or reception roles, ideally in a corporate or 5-star hotel environment.
  • Ability to build positive relationships with colleagues, guests, and clients.
  • Comfortable interacting with all levels, including senior executives.
  • Self-motivated with minimal supervision.
  • Confident in managing emergency situations and making decisions.
  • Strong team player with a supportive attitude.
  • Excellent communication skills, both written and oral.
  • Highly organized with multitasking skills and attention to detail.
  • Proficient in Microsoft Office Suite and familiar with AV/IT systems.
  • Physical ability to move heavy or bulky items safely.
  • Understanding of health and safety practices.
  • Customer-focused with strong relationship-building skills.
  • Enthusiastic, conscientious, and proactive.
  • Clear, confident communication skills and a positive attitude.
