Job description

Conveyancing Executive
Location: Barry
Department: Conveyancing
Reports to: Partner / Senior Fee Earner
Job Purpose:
To provide high-quality legal and administrative support within a busy Conveyancing department, working closely with a team of fee earners, partners, and support staff. The role involves managing files from instruction through to post-completion, ensuring excellent client service throughout.

Key Responsibilities:

  1. Client Communication:
    Confidently handle telephone calls and take accurate messages.
    Make outgoing calls as needed.
    Proactively update clients, estate agents, and developers on case progress.
    Attend client and developer meetings as required.
    Deal with clients and third parties in person, by phone, and in writing.
  2. Document Preparation & Management:
    Draft and prepare legal documents and correspondence using Microsoft Word and the firm's case management system.
    Ensure accuracy and a high standard of presentation in all documents.
    File opening, closing, and general file management using the case management system.
    Order searches and prepare reports to lenders.
    Prepare files for exchange and completion.
  3. Post-Completion Duties:
    Submit Land Transaction Tax or Stamp Duty Land Tax returns.
    Handle Land Registry applications and any necessary follow-up.

Essential Skills & Experience:

  • Familiarity with Microsoft Office (Word, Outlook, Excel).
  • Experience using a case management system.
  • Strong organisational and file management skills.
  • Excellent written and verbal communication abilities.
  • Proactive attitude with a client-focused approach.
  • Ability to work both independently and as part of a team.
