Role Summary

Working closely with the Contracts and Resourcing Manager, providing administrative support to the Production teams with contracting freelancers and supporting best practice and HR compliance, ensuring effective and streamlined processes within FMUK.

Key Responsibilities:

  1. Contracts
  • Drafting and issuing standard freelance contracts for FMUK freelance staff where required.
  • Issuing standard contract amendment and extension letters where required.
  • Working with HR to assist where required in the amendment and variation of standard contracts to comply with new legislation.
  • Verifying the content of all contract requisitions prior to raising the contracts.
  • Ensuring that the content of each contract is correct before submitting it for signature.
  • Collating all necessary information each week for the relevant payroll departments to ensure correct payments to all staff are processed in a timely manner.
  • Liaising with line managers from all productions to ensure that all relevant workers are contracted where necessary.
  • Monitoring and actioning requests from the Contracts E-mail account and Contracts In-Tray.
  • Logging all necessary contractual information in the relevant databases and spreadsheets.
  • Liaising with and ensuring contracts are approved as and when necessary by the Heads of Production.
  • Auditing the outstanding dispatched contracts files and when necessary draft and dispatch chase-up letters ensuring the contracts are returned in a timely manner.
  • Liaising with payroll departments to ensure valid, up-to-date information of all staff is held on file.
  • Working closely with the Contract and Resourcing Manager on compliance issues.
  • Other Resourcing responsibilities:
    • Collate and distribute a weekly jobs bulletin email, highlighting new opportunities both within the company and across the industry.
    • Assisting the production teams with the use of the Talent Bases platform including posting jobs for them and providing training on the system as and when required.
    • Review incoming CVs and applications, ensuring they are properly logged and routed to the relevant labels/productions.
    • Manage the talent inbox, responding to enquiries, ensuring applications are being sent to the correct hiring managers.
    • Support the implementation of diversity, equity, and inclusion initiatives within the talent and resourcing processes.
    • Undertake and monitor right to work checks for production freelancers.
    • Collaborate with the labels to promote DE&I best practices, such as inclusive candidate sourcing.
