Job description

  • Coordinate with the rest of the Contract Admin team to assign and complete tasks.
  • Drafting up and sending out new contracts for new Associates or clients.
  • Manage the onboarding process for all new Associates, including collection of documents, referencing, and working practices assessments to ensure compliance before starting assignments.
  • Provide references for previous Associates of esynergy, and follow up on references for new placements.
  • Assist in the day-to-day administration of all esynergy's Contract Procedures, liaising with Directors, Managers, and Consultants to facilitate contract extensions, client schedules, and new placements.
  • Maintain accurate and up-to-date records of all candidate and company details in the company's databases.
  • Audit and archive internal paperwork.
  • Manage the main switchboard number.

Requirements:

  • Good knowledge of Microsoft Office Suite and messaging apps, especially Outlook, Word, Excel, WhatsApp, and Slack.
  • Ability to quickly learn new software, including CRMs and online tools such as Kimble, TIFO, Trello, Qdos portal, and DocuSign.
  • Strong communication skills, both written and verbal, essential for interacting with Associates and clients regarding processes, queries, and documents.
  • Cheerful, kind, and proactive personality, willing to go the extra mile and assist others.
  • Strong attention to detail, with the ability to follow procedures and prioritize tasks accurately, especially when writing and amending contracts and documents.
  • Diligence, tenacity, flexibility, and willingness to undertake various tasks in the office.
  • Ability to provide a valid Passport with a valid EU work visa if required.
