Job summary

Media Search inc is seeking a Conference Portfolio Manager for its flagship portfolio in London. The role requires leading production of high-profile B2B conferences with a 5+ year track record in conference production. The position is hybrid in London and offers up to £60,000 base plus a circa £25,000+ bonus.

Responsible for end-to-end event delivery, speaker coordination, budgeting and cross‑functional collaboration with marketing to maximise profitability and impact.

Qualifications

• Minimum 5 years of conference production experience.
• Ability to manage multiple events and meet deadlines.
• Strong communication with stakeholders and teams.
• Budget control and profitability awareness.

Responsibilities

• Research, write & produce large sale business conferences.
• Produce each event to the highest quality, curating content.
• Ensure data from invited/confirmed speakers and workshop leaders is entered daily.
• Ensure deadlines are met and production targets achieved and exceeded.
• Maximise event profitability, while controlling speakers’ expenses.
• Collaborate with Marketing to align materials and attraction strategies.
• Add value to the conference programme wherever possible.

My client is a highly professional, world leading business that specialises in the production of B2B Conferences to core business sectors across Defence & Security, Due to expansion a role has arisen for an innovative lead producer to work on their record-breaking Defence & Security portfolio, taking the event to the next level whilst using strategic & commercial nous, a great opportunity for an experienced producer with an interest in the sector.

Key Tasks

• Research, write & produce large sale business conferences.
• Produce each event to the highest quality possible, curating content for the relevant event
• Ensure data is requested and received from all invited and confirmed speakers and workshop leaders and added to the internal database daily.
• Ensure deadlines are met and production targets achieved and exceeded.
• Maximise event profitability (keeping speakers’ expenses to a minimum)
• Work with Marketing to check all marketing material relevant to your conferences, advising them on how best to attract potential delegates, making suggestions of associations, societies, and journals suitable for external marketing activity. Provide a mid-production marketing brief to add any developments or refinements to the initial research brief.
• Add additional value to the conference programme wherever possible.

Essential Skills, Traits and Qualifications

• Can build strong 2-day agendas reflective of industry-specific requirements and needs.
• Act as the Project Manager for each event, liaising continually with other relevant departments to ensure the smooth running of events, both in preparation on site
• The ability to manage time effectively, often balancing multiple conference responsibilities at one time.
• The ability to assimilate information quickly and effectively.
• A tenacious and enthusiastic approach
• Good time management capabilities and a can-do approach
• A commercial outlook on industry
• Excellent one to one communication and team skills
• Min 5 years of Conference Production within larger events
