The Biometrics Institute is a not-for-profit membership organisation based in London, UK and also in Sydney, Australia.

The Biometric Institute's mission is to promote the responsible use of biometrics and serves around 200 member organisations globally.

It organises a range of member meetings and events across the world and provides its members with information services and thought leadership through newsletters, surveys, and good practice guidance material.

This is an exciting opportunity for a senior conference producer to join our small, friendly team in a varied and challenging role. Working closely with our chief executive and other team members, you will develop, manage and produce events and conferences for our members and other stakeholders in the UK, EU and USA.

You will be proactive, enthusiastic, and highly organised, with at least five years’ experience in conference production, programme content creation and event management in order to maximise member engagement with our annual programme of events and meet financial targets. You will use your excellent creative, strategic and communication skills to curate, develop and sell our conferences, workshops and events to speakers, members, and stakeholders.

Our events are an essential platform for delivering on our mission and to attract and retain members. An understanding of the biometrics industry is not a requirement but experience in building communities through event content is critical.

You will conduct your own research to spot event and conference opportunities and help the management team develop new products and services to offer to our members, in order to increase revenues and drive business growth.

You will be an ideas generator, helping to develop our events programme which is carefully curated for our membership community and as such differs from commercial conferences. You will work closely with our CEO and Projects & Committees Manager to successfully incorporate project discussions, key themes in our published reports, and education initiatives into our event programmes.

You will grow the Institute’s membership base by retaining our existing members, working closely with our chief executive on ideas for conference programmes and new initiatives for members. As a membership organisation, the Institute requires an individual who can maintain positive relationships with existing members, with the aim of keeping them engaged and motivated to renew their memberships and support our events.

The team is entirely home-based, so it is essential that you can manage your time and workload effectively in a remote working environment. While working remotely, we also foster and encourage a collaborative approach to work at the Institute. Occasional flexibility in hours is required to support the Australian team and expert group meetings in different time zones.

Applicants will need to demonstrate they can develop concepts and deliver programmes and sponsorship packages for conferences, oversee event logistics, direct other team members and coordinate the technical aspects of conferences. As we are a small team, we all ‘pitch in’ at our events, so your role will also require you to be hands-on at times.

Experience in organising events for a membership organisation will be a plus demonstrating how to convert the organisation’s strategic plan and members’ needs into an event programme that will attract and retain members.

As well as managing and successfully executing events budgets, the applicant will also need to demonstrate proficiency in event marketing.

Duties and responsibilities

This role reports to the chief executive who is based in London. The role is primarily focussed on producing conferences including sponsorship and events, and on member engagement as those two business functions have a natural synergy at the Institute:

  • Conference producing – develop, produce and deliver our annual programme of events and conferences in the UK, EU and US aligned to regional strategic priorities and to attract and retain members
  • Membership engagement and retention – manage member renewals and build positive relationships with the Institute’s existing membership base to ensure their ongoing engagement with the Institute and their attendance and support for our events

Conference producing

  • Senior experience and past success in creating and developing conference programmes and/ or sponsorship sales, from initial brainstorming sessions and concept briefs to curating final content and managing speakers and venues
  • Identify and recruit key speakers and panellists with a focus on delivering on the Institute’s goal to facilitate and host complex and ‘difficult discussions’ in the biometrics sector
  • Be an ideas generator – research, assess, monitor, and help our chief executive adjust the Institute’s event programme for the UK, EU and US
  • Gain a good understanding of the Institute’s projects and priorities and incorporate key stakeholders into the event programme
  • Analyse the Institute’s competition and then assess how to increase our market share for events, conferences and sponsorship
  • Shortlist a target list of potential speakers and manage speakers’ requirements in the lead-up to and during events
  • Oversee the contracting of venues, vendors, AV equipment, catering and all other related administration and logistics
  • Coordinate technical needs, including all production and AV requirements
  • Oversee and collaborate on all associated event marketing campaigns
  • Work with our chief operating officer to develop budgets and then own these for events, conferences and workshops in the UK, EU and US, whilst making the best use of limited resources
  • Ensure that conferences, events, and workshops held in these regions deliver on content, target delegate numbers and budgets
  • Identify existing member needs in the UK, EU and US and work with management to ensure members' continued engagement with the Institute and attendance at our events
  • Assist the chief executive with activities that motivate existing members to become ambassadors for the Institute
  • Track membership renewals for these regions and arbitrate as needed
  • Build your own network of members to help identify members’ needs, encourage peer-to-peer marketing, and refine ideas for membership retention
  • Oversee and manage the administration of membership renewals
  • Ensure that member data for these regions is up to date in the database and that data is used intelligently for renewals, Institute initiatives and events
  • Manage and produce effective reports and updates on membership retention, and compile business updates for board meetings

Required skills and experience

To be successful in this role, you will have:

  • A minimum of five years’ experience in senior conference producing and will have successfully delivered conference and events including designing and curating event programmes and sponsorship opportunities
  • Demonstrable experience in developing member relationships, managing membership renewals and CRM administration
  • Proven expertise in events marketing to target existing members, speakers, new prospects
  • The ability to work proactively and identify conference, workshop and membership opportunities
  • Excellent communication and research skills, and the experience and confidence to interact with all our members, including executives and senior members of government agencies
  • Strong problem-solving ability and exceptional attention to detail and thoroughness in your approach to your work
  • Strong organisational and time management skills, including the ability to manage and prioritise multiple events and membership priorities in a fast-moving environment
  • Confidence and efficiency with technology including LinkedIn, Mailchimp, Microsoft Office 365 and Webex
  • Be an ambitious self-starter with the initiative and ability to own and manage the Institute’s ROW events programme as well as membership engagement and recruitment, working in close collaboration with our chief executive.
