Based at our Colchester office, this full-time role plays a key part in supporting compliance across our SHEQ (Safety, Health, Environment & Quality) department. Some flexibility in working hours may be considered depending on the candidate.

This role involves maintaining and updating essential administrative and compliance systems, supporting supplier approvals, document control, and environmental data tracking, as well as ensuring our safety systems and documentation are up to date.

Key Responsibilities:

  • Maintain company accreditations (RISQS, Construction Line, IAND Portal).

  • Manage and update the Business Management System (BMS) and associated documentation.

  • Notify document owners of expiring documents and archive outdated material.

  • Support and process supplier approvals, maintain the Approved Suppliers Matrix.

  • Respond to client requests for updated SHEQ documentation.

  • Coordinate Management Engagement Tours and maintain associated records.

  • Maintain records of environmental data (fleet fuel and office electricity).

  • Oversee office fire safety coordination (drills, training, servicing).

  • Monitor and record quarterly detonator disposal data.

  • Manage allocation of RSSB digital rule book licenses.

About You

We're looking for someone with a meticulous eye for detail and a strong administrative background. You will be confident working independently and supporting compliance processes in a safety-critical environment.

You’ll be successful in this role if you:

  • Ensure accurate and timely record-keeping.

  • Communicate clearly with both internal teams and external partners.

  • Keep compliance systems and documentation fully up to date.

  • Support health, safety, and quality across the business.

Essential:

  • Strong administrative experience, ideally involving the coordination of records, systems, or compliance-related documentation.
  • Excellent attention to detail, particularly when managing information that must be accurate, current, and well-organised.

  • Clear and professional communication skills, both written and verbal, for liaising with colleagues, suppliers, and clients.

  • Confident use of Microsoft Office, especially Word, Excel, and Outlook for creating, tracking, and updating documentation.

  • Well-organised and dependable, able to manage routine tasks as well as respond to unexpected priorities.

  • Positive and proactive, with a willingness to take ownership of your work and contribute to team goals.

Desirable:

  • Experience in document control or working within a SHEQ environment.
