Job summary

Active Care Group in Albrighton is seeking an experienced administrator to join as a compliance and governance support partner. The role is office-based, 20 hours per week, Monday to Friday, supporting case managers, managers and external stakeholders to ensure regulatory standards are met.

You will manage training records, incident logs, audits, and ensure documentation is up to date. Strong organisational skills and discretion are essential to maintain high standards of professional practice

Qualifications

  • Knowledge of care sector and CQC compliance is preferable.

Responsibilities

  • Manage and monitor the compliance email inbox, tracking inquiries and responses.
  • Maintain incident logs, governance records and audit findings with status updates.
  • Liaise with managers and stakeholders to escalate risks and support corrective actions.
  • Monitor training compliance, DBS checks, supervision records and required documentation.
  • Prepare governance and improvement reports, and assist with governance meetings.
  • Record minutes and follow up on actions from meetings.

Job description

AJ Case Management was established in 2013 to offer bespoke clinical services and support in everyday activities to our clients, enabling them to live a fulfilling and happy life. This is an exciting opportunity to join AJ Case Management, in our dynamic team in Albrighton.

This role provides vital administrative and compliance support, ensuring adherence to CQC standards, health and safety regulations, and employment responsibilities. It involves managing training records, incident logs, audits, and quality assurance processes, while acting as a key liaison between case managers, senior management, and external stakeholders. The role requires strong organisational skills, attention to detail, and the ability to support effective communication and governance within the service.

The Role:

This is an office based role working 20 hours per week, Monday to Friday.

Key Responsibilities:
  • Manage and monitor the compliance email inbox, ensuring all correspondence, incidents, concerns, referrals, and compliance‑related enquiries are acknowledged, tracked, escalated where appropriate, and responded to promptly.
  • Maintain and update incident reporting logs, compliance databases, and governance records, ensuring accurate recording of investigation status, actions taken, outcomes, and follow‑up activities.
  • Liaise with the Registered Manager, case managers, and other stakeholders to escalE risks, provide updates on compliance matters, and support the implementation and monitoring of corrective actions.
  • Monitor incident trends, compliance breaches, audit findings, and performance data, identifying recurring themes, riskS, and opportunities fo service improvement.
  • Oversee the organisation's training matrix and staff compliance records, ensuring that all training, qualifications, DBS checks, supervision records, and other mandatory documentation are accurately maintained, up to date, and compliant with regulatory requirements by the designated staff members.Monitor training completion and compliance requirements, producing regular reports, issuing reminders for overdue actions, and supporting staff to access learning resources. Communicate updates relating to policies, procedures, compliance requirments, and mandatory training across the organiZation. Conduct regular audits of client files, care records, and compliance documentation using established quality assurance frameworks and checklists.
  • Identify gaps, areas for improvement, and non‑compliance issues, providing feedback and recommendations to relevant stakeholders to support continuous quality improvement. Prepare audit summaries, compliance reports, governance reports, and improvement plans, collecting and analysing data to support organiZational oversight and regulatory compliance.
  • Assist with the planning, distribution, collection, and analysis of service user, family, and stakeholder feedback surveys to inform quality improvement initiatives. Work collaboratively with case management teams to ensure compliance with organisational standards, proactively resolving concerns and addressing missing or overdue documentation.
  • Attend clinical, governance, and operational meetings, recording minutes, documenting agreed actions, and monitoring completion of follow-up activities. Provide professional administrative support, including document management, record keeping, report preparation, meeting coordination, and data entry. Act as a key point of contact for compliance and organisational enquiries, ensuring stakeholders receive a responsive, professional service and escalating urgent concerns to senior management when required.
  • Maintain your own training compliance and ensure they are up to date with regulatory standards.

What you'll have:
  • Able to communicate effectively with a variety of stakeholders.
  • Strong IT skills with the ability to use Word, Excel, and Microsoft Outlook proficiently.
  • Excellent organisational skills, attention to detail, and a thorough approach.
  • Ability to prioritise workload effectively.
  • Knowledge of the care sector and CQC compliance is preferable.
  • Significant experience providing administrative support within busy team settings, demonstrating strong organisational skills.
  • Demonstrated ability to handle sensitive information with discretion and maintain high standards of professional practice.
  • Participation in clinical or team meetings, taking minutes and following up on action points to support governance and operational efficiency.
