Complaints Administrator

United Kingdom (Remote)

Reporting to: Complaints Manager

Remuneration: £25,500- plus £1000 working from home allowance

Contract Type: Permanent/ Full time - 40hours per week

Location: Home-based/various UK meeting locations as required

The Complaints Administrator will provide and coordinate administrative support for our complaints process. The role involves monitoring systems, maintaining accurate records, preparing reports, agendas, and minutes, and ensuring timely follow-up actions. They will liaise with complainants, families, and healthcare professionals, gather information for investigations, and support the wider team as needed.

Reporting to the Complaints Manager, you may also provide support across the wider Quality and Safety Department.

This is a home-based role (applicants must reside in the UK), though occasional travel may be required for face-to-face meetings at various locations within the UK.

As our Complaints Administrator you will:

  • Monitor and manage complaint systems, ensuring accurate record-keeping and appropriate escalation of risks
  • Support complaint investigations, including liaising with complainants, families, and professionals
  • Prepare high-quality letters, reports, presentations, and data summaries
  • Provide administrative support for meetings: prepare agendas, take minutes, and follow up on actions
  • Maintain effective communication, manage emails, and act as a key point of contact for the team
  • Develop and manage electronic filing systems and support data entry and reporting
  • Contribute to departmental projects and collaborate with administrative colleagues across the organisation
  • Plan and prioritise workload effectively, adapting to changing demands
  • Participate in supervision, performance reviews, and mandatory training relevant to the role

To succeed as our Complaints Administrator, you will have:

Strong organisational skills, attention to detail, and the ability to produce high-quality documents while maintaining confidentiality and data protection standards. You are a strong communicator with the ability to work collaboratively in a team environment.

Essential Qualifications, Skills and Experience:

  • Significant administrative/ secretarial experience including initiating and maintaining office systems
  • Complaints handling or administration, preferably in a healthcare background
  • Demonstrable experience in dealing with sensitive and confidential information
  • Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint
  • Understanding of Confidentiality and Data Protection Act

Desirable Qualifications, Skills and Experience:

  • Experience in private healthcare industry
  • Knowledge of NHS and CQC regulation
  • Experience in remote working
  • Experience working under CQC regulation
