The Role

We are currently recruiting for two new roles in our fast-paced, FTSE 350 Company Secretariat team, one of which is this Company Secretary Assistant position. Based in the City of London with flexible working, these are exciting opportunities to join a small, agile team and make a meaningful impact.

We are looking for a proactive and detail-oriented Company Secretary Assistant to support the delivery of high-quality company secretarial services. You will become an integral part of a highly efficient team during a period of significant business transformation.

If you are ready for your second role in a small team that covers board governance processes, global subsidiary management , share dealing regulations and share schemes management , this opportunity will give you hands - on experience of all aspects of the Company Secretarial function. It will give you variety, responsibility, accelerated learning and the chance to grow within a dynamic FTSE head office environment.

Principle Accountabilities

  • Maintain corporate entity database and ensure timely filings.
  • Handle employee share dealing requests and management of insider/confidentiality lists.
  • Assist with the implementation of the new governance procedures for director verification.
  • Prepare and publish board/committee papers via Diligent.
  • Manage board calendars and meeting schedules.
  • Coordinate diaries for Board, Executive, and Investment Committees.
  • Support ARA project planning.
  • Assist with AGM logistics and documentation.
  • Administration of the share schemes (monthly exercises/vesting’s/grants/leavers).

Qualifications, Knowledge and Experience

  • Qualified or CGI finalist.
  • Degree-level education preferred, ideally in Law, Business, or a related field.
  • Previous experience in a company secretarial or governance support role, ideally within a listed company or professional services company.
  • Familiarity with legal entity management systems and corporate filings.
  • Experience using Diligent or similar board portal software.
  • Experience supporting Board and Committee meetings, including diary and document management.
  • Strong attention to detail and excellent organisational skills.
  • Discreet and professional with the ability to handle confidential information.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Strong communication skills and a collaborative mindset.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
