The Role

We’re looking for a highly organised and detail-oriented Company Secretarial Administrator to join our dynamic Company Secretariat team. In this key role, you will support governance, compliance, and company secretarial activities across the Collinson Group and its global subsidiaries. You will also play a critical part in managing KYC requests, maintaining legal records, and ensuring smooth financial administration within the team.

Key Responsibilities:

KYC / Due Diligence (60%)

  • Manage KYC requests from banks, partners, and service providers
  • Prepare and maintain legal entity documentation and director IDs
  • Track document expiry dates and support audit requirements

Financial & Invoice Support (20%)

  • Process governance-related invoices and liaise with Finance on POs
  • Maintain invoice logs and ensure timely payment

Company Secretarial & Governance (20%)

  • Update group structure charts and statutory registers
  • Support board meeting logistics and Companies House filings
  • Coordinate notarisation and apostille processes for key documents

About You

We're looking for someone who is:

  • Experienced in a governance, legal, or financial admin role
  • Familiar with UK company compliance requirements and KYC documentation
  • Proficient in Microsoft Office with strong organisational skills
  • Discreet, proactive, and comfortable juggling shifting priorities

Desirable (but not essential):

  • Experience with entity management systems (e.g., Diligent Entities)
  • Understanding of AML/KYC requirements
  • Interest in pursuing CGI (ICSA) qualification
