Job description

The Forward Trust is looking for an organised, proactive and detail-oriented Administrator to provide comprehensive business and administrative support to our Swale service, which delivers community-based drug and alcohol treatment, including medically assisted treatment.

In this role, you will play a vital part in ensuring the smooth and effective running of the service by providing a range of administrative and secretarial support, maintaining accurate records, undertaking data entry and supporting the collection, monitoring and reporting of key performance information.

You will contribute to the monitoring of targets set by Forward Trust and local commissioners, helping to ensure that service outcomes are accurately recorded and reported. Building and maintaining effective working relationships with colleagues and partner agencies, including clinical teams, will be essential to ensuring information is shared appropriately and the service operates efficiently.

You will be responsible for maintaining databases, collating statistical information, preparing reports and correspondence, and supporting administrative systems to ensure information is accurate, up to date and readily available when required. You will also handle confidential information with professionalism and discretion, following relevant policies and procedures.

The role will be primarily based in Sittingbourne, with occasional cover required at other sites across the East Kent region to support service continuity during periods of staff absence. Flexibility, effective time management and the ability to manage competing priorities in a busy environment will be key to success.

This is an excellent opportunity to contribute to a service that supports individuals affected by drug and alcohol use, helping ensure that effective administration underpins the delivery of high-quality treatment and recovery support.

About You

We are looking for an enthusiastic, reliable and highly organised individual with strong administrative skills and the ability to work effectively within a busy, fast-paced team.

You will have experience providing administrative support within a large team, be confident using Microsoft Office applications and have excellent attention to detail when handling data, maintaining records and preparing reports. You will be comfortable managing multiple tasks, responding to changing priorities and working independently to ensure deadlines and service requirements are met.

You will also understand the importance of confidentiality, accuracy and professionalism when working with sensitive information, and be able to communicate effectively with colleagues, service users and external partner agencies.

To succeed in this role, you will demonstrate the following experience and capabilities:

  • IT and Microsoft Office Skills: An intermediate-level certification in Microsoft applications or demonstrable experience using Microsoft Office packages to support administrative tasks and manage information effectively.
  • Administrative Experience: At least nine months' experience providing administrative support within a large team, with the ability to remain organised and productive in a busy, pressured environment.
  • Data Management: Strong experience working with data relating to drug and alcohol treatment is desirable, alongside an understanding of the importance of accurate information to service delivery and performance monitoring.
  • Accuracy and Attention to Detail: Experience collating statistical information, maintaining accurate records and preparing reports, with a strong focus on quality, consistency and attention to detail.
  • Database Management: Experience developing, implementing or maintaining large databases, together with the ability to manage the administrative processes associated with them.
  • Communication Skills: Excellent written and verbal communication skills, with the confidence to communicate professionally with people at all levels and prepare clear, accurate correspondence using your own initiative.
  • Confidentiality and Professionalism: Previous experience working in a confidential or secure environment is desirable, with an understanding of the importance of handling sensitive information appropriately.
  • Organisation and Prioritisation: The ability to manage competing demands, meet deadlines and maintain effective administrative systems while adapting to changing service needs.
  • Teamwork and Partnership Working: A collaborative approach, with the ability to build positive working relationships with colleagues, clinical teams and external partners to support the effective delivery of the service.
  • Flexibility and Initiative: A willingness to adapt operational requirements, provide cover at other East Kent sites when needed and take responsibility for completing tasks efficiently and accurately.

Above all, you will be committed to providing a high standard of administrative support, understand the importance of accurate data and effective communication, and take pride in helping a busy service run smoothly.

If you are organised, adaptable and motivated to use your administrative skills to support services that make a positive difference to people's lives, we would welcome your application.
