Job description

To provide an efficient and effective administrative service within the Community Mental Health Team, carrying out all administrative tasks related to the role. This includes answering telephone calls from patients, relatives, and clinical staff to ensure a smooth mental health service, along with various administrative duties as directed by your Line Manager.

Please note - This role is not eligible for sponsorship unless you meet criteria by temporary exemption from current changes to immigration rules put in force on 22/07/2025. Separate provisions are applied to workers who have been sponsored and held a continuous Skilled Worker visa since prior to 04/04/2024.

  • Provide administrative support to the clinical team regarding care plans and clinical correspondence.
  • Handle all incoming referrals to the service.
  • Manage incoming and outgoing mail, processing, distributing, and responding within limits.
  • Ensure sufficient stocks of stationery are available to meet the team's needs without stockpiling.
  • Coordinate and facilitate dissemination of information to and from the team.
  • Deal efficiently, precisely, and courteously with telephone callers.
  • Produce minutes from daily zoning meetings, MDT, or other team meetings as required.
  • Provide supervisory support to receptionists and apprentices, including line management supervision.
  • Maintain filing systems appropriate to the service's needs.
  • Maintain client records for data input onto health and social services computer systems.
  • Keep records of referrals and discharges for statistical purposes and enter data accurately and promptly onto the Paris system.
  • Scan relevant documentation to update patient records.
  • Record messages accurately in the daily diary for all team members.
  • Type correspondence, reports, etc., and amend format and grammar as necessary within the Paris system.
  • Develop an understanding of the patient record system (PARIS) and maintain data quality.
