The Governor’s Academy, the oldest boarding school in New England, inspires and engages inquisitive students in ninth through twelfth grade. POSITION SUMMARY
The College Counseling Coordinator provides administrative support to the College Counseling Office and to other offices at Govs. The Coordinator organizes, coordinates, and performs administrative duties requiring independent judgment, discretion, and confidentiality. The coordinator reports to the Director of College Counseling. This is a full-time, hourly staff position with benefits.
- Greet all visitors to the College Counseling Office including students, parents, and college representatives.
- Support college counselors’ work with students throughout the college application process.
- Work with college counselors to create and implement College Counseling curriculum, programs, and special events.
- Assist the Director of College Counseling and Associate Directors with special projects and in preparing college application materials as necessary.
- Schedule and coordinate visits by up to 100 college representatives each fall, including online calendar management
- Publicize and send email reminders to students regarding college visits
- Support annual BISCCA College Fair, i.e., send invitations and track RSVPs for college representatives.
- Ensure information accuracy of all new entries and updates of students in the SCOIR database, including all profile information, test scores, transcripts, GPA, recommendations, and additional documents as necessary.
- SCOIR database support: update student, teacher, and college representative information, upload transcripts and recommendations, research and resolve all inquiries regarding student college application materials from educational institutions, submit final transcripts to attending colleges for graduating seniors
- Manage departmental expenses and subscription renewals
- Reconcile department bills for the Business Office.
- Transcript Release Authorization forms and sending transcripts to coaches for recruitment purposes
- Upload transcripts to the NCAA Eligibility Center.
- Maintain spreadsheets for each class of recruited athletes
- Work with Revolution Prep agency for sophomore ACT and SAT diagnostic testing and tutorials.
- Work with Academic Office to obtain complete current and previous transcripts for all currently enrolled students and to manage transcript requests from alumni
- Maintain records of students who request a transfer to another college or university.
- Generate database reports for CCO Report to the Governor’s Board of Trust.
- Schedule meetings with CCO and other departments as needed.
- Prepare Google forms, sheets, and documents and maintain Google Calendar.
- Assist with administrative aspects of AP, ACT, and SAT testing.
- Order office supplies and prepare maintenance requests.
Administrative Needs For Other Offices May Include:
- Assist in maintaining the appointment calendars for the dean or director.
- Assist with budget, bills, and expenses management.
- Manage plans and arrangements for student and employee meetings, events, conferences, and travel
- Schedule internal and external meetings
- Communicate with other departments and with families, as needed.
- Database management
- Other duties as needed
QUALIFICATIONS
- Bachelor’s degree is preferred, and/or 3 or more years of equivalent work experience.
- Excellent verbal and written communication skills.
- Strong Google Office skills are crucial. Proven ability to utilize and develop electronic spreadsheets.
- Experience with Veracross and SAO is preferred but not required.
- Must be attentive to detail. Accurate and timely data entry and reporting skills.
- Ability to organize workload, multi-task, adapt quickly to change, and deliver under deadlines.
- Ability to develop and maintain cooperative and professional working relationships.
- Prior work experience in college counseling is not required, though some knowledge of independent and/or boarding school life is preferred.
- Must be able to work collegially; must be committed to working in a diverse community and have the ability to communicate effectively with diverse populations.
SUPERVISION RECEIVED
This position reports directly to the Director of College Counseling.
Hours
Full-Time, non-exempt position. Hours are 30 hours per week during the academic year, with the opportunity of additional hours (up to 40 hours), as needed. Work from home is available during certain times of the year.
