Description

If you’re our ideal Special Events Executive, you will:

  • Be yourself!
  • Produce proposals for all Special Events enquiries in line with customer requests
  • Plan and deliver successful events for our client
  • Develop strong client relationships to increase enquiries and business opportunities
  • Work closely with operational teams across your cluster of hotels to ensure we capture every detail
  • Gather feedback from clients – we love repeat business!
  • Produce contracts and issue invoices to customers
  • Have a genuine passion for hospitality and delivering first-class customer service

The day-to-day –

  • Respond professionally to telephone and email enquiries in timely manner, according to our department methods and standards
  • Ensure good diary management is implemented to avoid over capacity or over bookings
  • Upsell to enquiries where possible (food & beverages, bedrooms, leisure facilities, etc.)
  • Create and update bookings ensuring as much detail as possible is inputted
  • Offer show rounds to clients with enquiries to maximise our chance of winning the business
  • Promote any offers when appropriate
  • Prepare and issue proposals, contracts and invoices
  • Ensure compliance with company standards and strive to achieve targets
  • Conduct regular competitor checks to ensure you have a good understanding of our market and pricing strategy
  • Liaise with other hotel departments to ensure we are all working towards the same goals
  • Arrange and conduct final details meeting/calls with organizer prior to event. Ensuring they are fulfilled professionally, efficiently and effectively and mirror the requirements of the visiting client whilst enabling you to gather all relevant information in order to produce function sheet.
  • Produce function sheets for all events ensuring all necessary detail is noted ensuring all final detail including delegate numbers, rooming’s lists and timings are collected from booker.
  • Participate in training and be the best you can be in your role - there is a huge amount of training available to you if you want to build a career
