Job summary

Hilton London Watford is seeking a Cluster Groups, Conference and Events (GCE) Coordinator to provide essential administrative control and support for commission handling, billing, POs, reporting and auditing.

You’ll collaborate with Sales and Reservation teams to ensure data accuracy in Delphi and keep the PMS current for commissionable rates, while supporting e-commerce activities and general admin tasks.

Qualifications

  • Experience handling commission processes, billing, POs and reporting.
  • Ability to maintain strong controls and financial accuracy in a hotel setting.
  • Experience liaising with sales/reservation teams and auditing/compliance functions.

Responsibilities

  • Ensure strong financial management and robust controls for Commission Processes.
  • Liaise with C&E Sales and Reservation teams to monitor data accuracy in Delphi.
  • Produce Delphi reports as directed by GCE Director or Cluster Commercial Director.
  • Ensure PMS is current for Commissionable Rates.
  • Prepare month-end accruals for unpaid commissions.
  • Handle inquiries related to billing/commission per policy.
  • Track office stationaries and arrange ordering.
  • Assist QA and Health & Safety audit administration.
  • Handle Birchstreet Purchase Orders.
  • Manage client giveaway items and merchandise tracking.
  • Maintain strong hotel and local area product knowledge.

As a Cluster Groups, Conference and Events (GCE) Coordinator, you will not only provide administrative control and support processes for the hotel, including but not limited to commission handling, billing, purchase orders, reporting, auditing, e-commerce activities, and general administrative tasks- but you will also help spread the light and warmth of hospitality by delivering memorable experiences that enhance every guest's stay.

Responsibilities

Here's what you'll do during a typical day:

  • Ensure strong financial management and maintain robust controls for Commission Processes.
  • Liaise with the C&E Sales and Reservation teams to monitor and control the accuracy of data recorded in Delphi.
  • Delphi reports – as directed by GCE Director or Cluster Commercial Director.
  • Ensure Property Management System is current and accurate for Commissionable Rates.
  • Prepare Month end accruals for the accurate provision of Unpaid Commission.
  • Deal with all incoming enquiries and correspondences of from clients, guests, companies and/or agents in regards to their billing/commission, whilst following established company and hotel policies.
  • Office Stationary tracking and ordering.
  • Look after various audit administrations, such as QA, Health & Safety, etc.
  • Birchstreet Handling (e.g. Purchase Orders).
  • Client Giveaway Items & Merchandise Handling (e.g. ordering stock, liaising with relevant departments, updating tracker).
  • Maintain a high level of product knowledge about the hotel and local area.
