Job description

Mooseheart Child City & School, Inc. is seeking a compassionate, detail-oriented Clinical Services Assistant to support the health and administrative needs of our students. This position plays a vital role in ensuring students receive timely, coordinated care and that medical records are accurately maintained in compliance with DCFS and ISBE standards.

Key Responsibilities:
  • Provide first aid and basic care to ill or injured students under the direction of the Residential Community Nurse
  • Notify Residential staff of upcoming medical appointments, diagnostic tests, and lab work, and ensure proper follow-through
  • Schedule medical appointments and diagnostic testing as needed
  • Maintain records of physicals, eye exams, and dental visits to ensure ongoing compliance
  • Prepare psychotropic consent forms and medication review charts; track receipt and expiration dates
  • Coordinate eyeglass orders and vision/hearing screenings
  • Assist with medication pickups and fulfill OTC medication orders as directed by the nurse
  • Track and manage monthly bubble packs and medical supply needs
  • File medical records promptly and maintain accurate health cards for each student
  • Clean and disinfect workspaces, update red medical binders biannually, and support infection control practices
  • Prepare student admission and demission charts
  • Communicate with healthcare providers via fax and maintain up-to-date correspondence
  • Provide general secretarial support to the department (phones, visitors, mailings, supply orders)
Minimum Requirements:
  • High school diploma or GED required
Education, Skills & Qualifications:
  • CPR/AED and First Aid Certification (American Red Cross) required/will train if not certified
  • Basic computer skills, including proficiency in Microsoft Excel
  • Strong organizational and communication skills
  • Ability to maintain strict confidentiality of medical records and patient information
  • Experience in a school, healthcare, or residential setting preferred but not required

Must pass a required background and Psychological Evaluation.
