Clinic Coordinator (Part-Time) – The Bespoke Clinic, Newcastle upon Tyne

From £14.00 per hour | Minimum 16 hours/week | Calm, patient-facing role in a specialist wellness clinic

The Bespoke Clinic is a private, CQC-registered space in Newcastle specialising in functional medicine, hormone support, and integrative skin care.

This is more than a receptionist or admin role — you’ll be the first smile our patients see and the lasting impression they leave with. You’ll take ownership of the patient journey from first enquiry to follow-up, creating a seamless, serene, and personal experience every time.

What you’ll be doing:
  • Welcoming patients and managing calls, emails & video appointments
  • Organising bookings, reminders, and patient follow-ups
  • Ordering stock, monitoring supplies and expiry dates
  • Liaising with labs and supplement companies — ordering tests, chasing results
  • Taking payments and keeping records up to date
  • Managing patient recalls and outstanding admin tasks
  • Preparing treatment rooms and ensuring everything is ready for appointments
  • Maintaining high standards of cleanliness and infection control
  • Recommending supplements, skincare or treatments where appropriate
  • Occasionally supporting events, social media or marketing

Essential skills:
  • Confidence using Outlook, booking systems, and basic IT tools
  • Strong organisation and multitasking
  • Professionalism, discretion and attention to detail
Desirable (but not essential):
  • Experience in a clinic, private healthcare, or wellness setting
  • Knowledge of skincare, CQC standards or holistic health
  • Interest in social media or wellness-focused events
