Job summary

FirstPort is recruiting a Client Transition Assistant in London to support the client transition process, coordinate with agents, and manage documentation and records. The role involves accurate administration, timely reporting, and ensuring smooth handovers across the client services team.

You will work Monday to Friday, 9am–5pm, joining a collaborative and supportive environment with ongoing training, benefits and career development opportunities.

Qualifications

  • Demonstrable experience of delivering an exceptional customer service.
  • Confident, articulate communicator – both orally and in writing; able to build relationships with all types of customer and clients with a resolution focused mentality, creative in your approach.
  • Able to work with autonomy and as part of a wider team
  • Efficient in maintaining administration and record keeping electronically
  • Demonstrable ability dealing with problems and challenges effectively.
  • Good knowledge of Health and Safety regulations.
  • Ability to work under pressure resilient, able to prioritise and manage time effectively.
  • Excellent IT skills, social-media awareness and up to date with new technology.

Responsibilities

  • Coordinate and complete demobilisation activities, ensuring all customer requirements are met and documentation is properly filed.
  • Liaise with parties to ensure a smooth transition and timely relay of information to relevant agents.
  • Manage deliverables to the process with open communication and timely deadline achievement.
  • Maintain electronic filing systems and CRM data accuracy.
  • Prepare regular reports for the department and wider business.
  • Update CRM and other databases with current information.
  • Review and collate handover documentation for smooth handovers.
  • Support the wider client services team with additional duties as needed.

Salary: From £24,000 per annum plus benefits

Contract: Permanent

Hours: Monday to Friday – 9am to 5pm (35 hours per week)

Your Role, Your Impact

As a Client Transition Assistant, you will have full responsibility of the administration activities relating to the client transition process, ensuring information is passed to new agents in line with industry guidelines and that relevant team’s complete actions where needed, as well as acting as the single point of contact for all new agents.

Key Responsibilities:
  • Coordinate, to completion all the demobilisation activity, completing relevant documentation as part of the process, ensuring all customer requirements are met.
  • Liaise with all relevant parties to ensure a smooth transition, ensuring relevant information is relayed appropriately and timely.
  • Managing other deliverables to the process, using open communication and influencing skills to ensure required deadlines are met.
  • Maintaining electronic filing systems.
  • Compiling regular reports for distribution to the department and wider business.
  • Update and ensure accuracy of CRM system and other databases.
  • Collating and reviewing handover documentation.
  • To carry out any other reasonable requests/duties to support the wide client services team.
  • Ensure task ownership and aim to resolve issues first time.
