Job summary

Tate Recruitment has partnered with a Taunton-based financial services firm to recruit a Client Services Administrator. This full-time role focuses on supporting Financial Advisers, handling client administration and ensuring accuracy and compliance across processes.

You will use Intelligent Office, manage a busy workload, and provide a high level of service to clients and advisers. Hybrid working is available after an initial in-office period, with core hours 9-5.

Responsibilities

  • Handle all client communications professionally and within timescales.
  • Act as a key point of contact for clients, providing a friendly, professional service.
  • Build and maintain strong relationships with clients, Advisers, colleagues and external contacts.
  • Develop a comprehensive understanding of the company’s financial services proposition, products, processes and procedures.
  • Support onboarding of new clients, ensuring documentation and compliance are completed.
  • Assist with preparation and delivery of clients’ annual reviews, ensuring information is available on time.
  • Process new business applications from instruction to completion.
  • Deal with ad hoc client queries and provide updates on progress.
  • Maintain accurate and up-to-date client records and documentation.
  • Record, manage and monitor client activity using Intelligent Office.
  • Liaise with providers and contacts to progress client requirements.
  • Ensure all administration is completed accurately and efficiently.
  • Take ownership of tasks and prioritise to high standards.
  • Support Advisers with day-to-day administrative requirements.

Salary: £32,000-£34,000 per annum, depending on experience

Working Hours: Full-time, Monday to Friday

Office Working: 5 days per week in the office for the first 6 months, with some flexibility/hybrid working available thereafter

About the Role

My client, a well-established financial services business based in Taunton, is looking for an experienced Client Services Administrator to join their team. This is an excellent opportunity for someone with previous experience within financial services who has a good understanding of financial products, client administration and the processes involved in supporting Financial Advisers.

The successful candidate will ideally have experience using Intelligent Office and will be confident managing a busy workload while maintaining a high level of accuracy and attention to detail. You will play an important role in supporting Advisers and clients, ensuring that administration is completed efficiently and that clients receive an excellent level of service.

Key Tasks & Responsibilities
  • Handle all incoming and outgoing communications professionally, efficiently and within agreed timescales.
  • Act as a key point of contact for clients, providing a friendly, professional and helpful service.
  • Build and maintain strong working relationships with clients, Advisers, colleagues and external professional contacts.
  • Develop a comprehensive understanding of the company’s financial services proposition, products, processes and procedures.
  • Support the onboarding of new clients, ensuring all relevant documentation, information and compliance requirements are completed accurately.
  • Assist with the preparation and delivery of clients’ annual reviews, ensuring all required information and paperwork is available in a timely manner.
  • Process new business applications and related administration from initial instruction through to completion.
  • Deal with ad hoc client queries, providing accurate information and keeping clients updated on progress where required.
  • Maintain accurate and up-to-date client records and documentation.
  • Use Intelligent Office and other relevant systems to record, manage and monitor client and administrative activity.
  • Liaise with providers, product providers and other professional contacts as required to obtain information and progress client requirements.
  • Ensure all administration is completed accurately, efficiently and within agreed deadlines.
  • Take ownership of individual tasks and workloads, prioritising effectively and ensuring work is completed to a high standard.
  • Proactively identify outstanding actions and follow these through to completion.
  • Support Financial Advisers with day-to-day administrative requirements and client servicing.
  • Assist with general administrative queries and provide support to the wider business when required.
  • Consistently provide a high level of customer service and look for opportunities to go the extra mile for clients and Advisers.
  • Complete all role‑specific training and actively develop knowledge of financial products, industry developments and technical requirements.
  • Identify areas where additional knowledge or training is required and take a proactive approach to personal development.
  • Ensure all work is carried out in accordance with company procedures, regulatory requirements and expected service standards.
About You

The ideal candidate will have previous experience in financial services administration, ideally within an IFA, wealth management, pensions, investments or similar environment. You will have a good understanding of financial products and be comfortable dealing directly with clients and professional contacts.

You will also have:

  • Previous experience in a financial services administration role.
  • A good understanding of financial products and client servicing processes.
  • Experience using Intelligent Office is highly desirable.
  • Excellent written and verbal communication skills.
  • A confident and professional telephone manner.
  • Strong attention to detail and a high level of accuracy.
  • Excellent organisational and time-management skills.
  • The ability to manage multiple tasks and prioritise effectively.
  • A proactive and positive approach to work.
  • The ability to work independently while also being a strong team player.

What’s on Offer
  • £32,000-£34,000 per annum, depending on experience.
