Job summary

Quilter Cheviot is seeking a Client Leaving Administrator to support the Custody & Nominees team in London. The role focuses on efficient client departures, asset and cash returns, and adherence to regulatory procedures in a hybrid working environment.

You will collaborate with Investment Managers, Front Office and Operations to monitor workflows, resolve issues, and improve controls. Training initially requires five days in the office, then a minimum of three days on-site weekly.

Qualifications

Responsibilities

About the Role

The Client Leaving Administrator sits within the Custody & Nominees team and is responsible for supporting the efficient and controlled departure of clients from the firm. Working closely with Investment Managers, Front Office teams and operational departments, the role ensures client assets and cash are returned accurately, payments are processed in accordance with procedures, and account closures are completed in line with regulatory and internal requirements.

The successful candidate will play an important role in delivering positive client outcomes by monitoring client leaver workflows, investigating and resolving issues, maintaining strong operational controls and supporting continuous improvement initiatives. The role offers exposure to a broad range of internal stakeholders and provides opportunities to develop knowledge across wider Custody & Nominees activities through cross-training and collaboration.

During the initial training period, the successful candidate will be expected to attend the office five days per week to support knowledge transfer, stakeholder engagement and hands‑on learning. Following completion of training, the role will operate under the firm's hybrid working arrangements, with a minimum of three days per week in the office.

The role holder will be expected to use approved digital, automation and AI-enabled tools responsibly to improve efficiency, support service delivery and enhance the client and colleague experience. All use of such tools must be undertaken with appropriate human oversight to ensure accuracy, compliance and adherence to the firm's data protection, regulatory, risk management and information security requirements.

List the key responsibilities:

  • Monitoring and managing client leaver and account closure workflows.
  • Reviewing and authorising outgoing client payments in accordance with procedures and authority levels.
  • Liaising with Investment Managers, Front Office teams and Operations departments to facilitate timely client departures.
  • Investigating and resolving issues that may delay the release of client assets or cash.
  • Ensuring all client records are updated accurately following account closure.
  • Maintaining strong controls and ensuring all activity is completed in line with regulatory and internal requirements.
  • Escalating risks, exceptions and aged items as appropriate.
  • Supporting management information production and workflow monitoring.
  • Identifying opportunities for process improvement, automation and standardisation.
  • Using approved digital, automation and AI-enabled tools to improve efficiency and consistency of processes while maintaining appropriate controls and oversight.
  • Assisting with the development and enhancement of procedures, templates and controls.
  • Cross-training with the wider Custody & Nominees team
About You
  • 2-3 years experience within a Financial Services Operations role.
  • Strong organisational skills and attention to detail.
