We are seeking a Client Inventory Manager – Art Collections to lead inventory control and data integrity for prestigious collections, combining logistical precision with operational strategy in a fast-paced, client-focused environment.

Your role in our mission
- Lead initiatives to enhance inventory accuracy using system controls, frequent cycle counts, and weekly reconciliation protocols. Apply Excel-based tools (Power Query, VBA, pivot tables, nested formulas) to monitor KPIs, identify variances, and implement corrective actions.
- Maintain and improve the Moveware platform, ensuring complete, up-to-date inventory records. Perform database uploads/downloads (.xls, .csv, SQL) with a focus on data validation and error resolution. Integrate inventory data across platforms (e.g., Google Sheets, internal systems) for operational transparency.
- Develop comprehensive reports and interactive dashboards to support internal teams and high-profile clients. Use historical trend analysis and predictive modeling to inform decisions related to logistics, capacity planning, and risk mitigation.
- Oversee and execute complex, high-volume art collection projects, including condition reporting, domestic and international movement coordination, and client reporting. Use a structured project management approach to balance deadlines, resources, and client expectations.
- Act as a critical liaison between Operations, Client Services, and Project Management. Ensure seamless communication through precise documentation and real-time data access. Maintain a solutions-oriented mindset that prioritizes both client needs and internal efficiency.
- Champion best practices in art handling, preventative conservation, and collection care. Standardize workflows and develop SOPs that reflect industry-leading approaches to inventory management.
Valued skills and experience
- Advanced Data Analysis:Proficient in Excel (Power Query, pivot tables, VBA), Google Sheets, and SQL for dataset cleaning, transformation, and reporting. Able to manage large-scale data imports/exports (.csv, .xls), ensuring quality control and consistency.
- Skilled in maintaining, auditing, and optimizing inventory management systems such as Moveware, with a focus on user workflows, reporting accuracy, and performance metrics.
- Partnered with operations and logistics teams to support high-value, deadline-driven projects through precise data tracking, reconciliation reporting, and proactive risk mitigation.
- Implemented robust system controls and automated reports to monitor inventory discrepancies, flag data anomalies, and recommend corrective actions
- Delivered clean, visually intuitive dashboards and inventory reports for both internal teams and high-profile external clients, ensuring transparency and confidence in asset tracking.
- Adept at balancing tactical execution with long-term process improvement goals, ensuring both data integrity and operational efficiency.
