Job Summary and Key Responsibilities

We are seeking a detail-oriented and proactive Client Accounts Assistant to join our Client Accounts team. This role focuses primarily on managing and resolving internal and external accounts queries, ensuring the timely and accurate resolution, providing support to clients and contributing to the smooth running of the department.

Key Responsibilities:

  • Assisting Branch staff and Contractors with accounts and remittance queries relating to Contractor accounts, via telephone and Help Desk.
  • Setting up and amending Contractors records on PropCo, including updating bank details, archiving contractors no longer in use and ensuring fees/commission are charged correctly.
  • Keeping records of relevant licenses, certifications and accreditations up to date, including Public Liability, Gas Safe etc, and archiving contractor accounts if correct accreditation is not received, to remain compliant.
  • Processing refunds and cancelling invoices.
  • Taking ownership for importing contractor records from acquisitions and contacting to discuss changes impacting them.
  • Understanding if new processes or changes are required to maintain full compliance with regulatory bodies.
  • Other ad hoc Client Accounts related tasks.

What Are We Looking For:

Essential:

  • High levels of numerical competency, able to make accurate calculations and to explain them to clients in simple terms.
  • Ability to build and maintain relationships with property managers and branch staff.
  • Strong attention to detail and consistently delivering high levels of accuracy, ability to prioritise workloads under pressure.

Desirable:

  • Experience within a property or client accounting related role.
  • Solutions focused, able to identify and implement proactive solutions for the benefit of the client, preventing escalation and delivering an excellent client experience.
  • A good understanding of the residential lettings sector, the role of client accounting and key skills required.
  • Previous experience using Reapit.
