Qualifications

Job description

To provide administrative supervision for the East administration team within the Children & Young People's Division under the direction of the Administration Manager and Deputy Operations Manager. The post holder will facilitate the delivery of an efficient and effective administrative and clerical service. The post holder will supervise the administrative and clerical staff organising their workload as necessary and reviewing systems and processes in line with service needs. The post holder will be responsible for contacting the Estates department, IT, facilities and other departments as necessary to ensure the smooth running of our various sites.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Main duties of the job

Applicants must be a team player and be able to demonstrate excellent organisational and interpersonal skills. They must be able to work flexibly and have the ability to prioritise, and work well under pressure.

This is an East post, which means that you will be required to work at various locations.

Qualifications and/or Knowledge
  • Able to demonstrate English and Mathematics to GCSE or equivalent level.
  • NVQ 4 in Admin/customer care or equivalent experience
  • ILM Team Leading qualification or equivalent qualification or experience.
Experience
  • Previous office experience.
  • Previous NHS experience.
Aptitude and Abilities
  • Previous experience of supervising and managing staff.
  • Able to use electronic information systems.
  • Accurate VDU and keyboard skills.
  • Able to record information accurately.
  • Organisation - ability to manage diaries, set up filing systems, work to strict deadlines and prioritise tasks.
  • Previous experience of communicating confidential information.
  • Communicate clearly and sensitively over the telephone, in person and by letter.
  • Excellent communication skills with all stakeholders.
  • Able to work independently but also as an effective team player.
  • Knowledge of patient confidentiality.
  • Ability to speak Welsh
  • Previous experience using the hospital WPAS or similar system.
