We have an excellent opportunity for enthusiastic and motivated Centre Lead/Leads to work as part of our large team delivering the GP Extended Access Service on behalf of all member GP practices of ELM Alliance. Previous experience of working within primary care and experience in Systm One is essential. Various contracted hours available (up to 25 per week).
Job responsibilities
The Centre Lead will support the Service Coordinator in coordinating day-to-day management of one of the Clinical hubs during the GP Extended Access Service and will work closely with the clinical team to ensure delivery of a high-quality service. The role involves planning ahead, coordinating with service coordinators, and responding to problems during GP Extended Hours.
- Contribute to the training and induction of locum and new staff within the hubs; coordinate equipment, supplies and other resources.
- Day-to-day problem solving (IT, home visiting cars, premises) and escalate to Head of Operational Management as appropriate.
- Handle queries regarding premises and escalate as necessary.
- Circulate information about operational policies and ensure accessibility for non-clinical and clinical staff.
- Coordinate with other Centre Leads and Service Co-ordinators to ensure services run efficiently across four clinical hubs.
- Contribute to escalation/emergency plan implementation at service level.
- Train staff in operational procedures and IT systems; provide problem solving support.
- Provide emergency cover for receptionist shifts at GP Extended Hours and Out-of-Hours hubs, including overnights.
- Maintain accurate records of staff hours, overtime and sickness; liaise with the Rota manager as needed.
- Support budget adherence and National Quality Requirements; monitor demand and patient flows to ensure timely service delivery.
- Produce/update reports for practices on sensitive/confidential information (e.g., Frequent Callers and Special Notes).
- Support development and implementation of Operational Policies and Procedures; ensure local implementation.
- Gather data for audits to support service delivery and review.
- Support investigations of complaints and incidents; retrieve voice recordings and obtain required information from non-clinical staff.
- Ensure patient information is available and handed out in line with GP Extended hours and Out of Hours policies; maintain patient information leaflets in all hubs.
- Advise patients on procedures for accessing GP Extended and Out of Hours services.
- Have specialist knowledge of IT and telephone systems used in the service to troubleshoot problems (including Systm One, voice recording equipment, and general IT equipment).
- Support receptionists to process personal and telephone requests for appointments, visits and telephone consultations, directing callers to the appropriate healthcare professional.
- Ensure doctors’ bags and emergency drugs are stocked each shift; manage weekly replacement stock.
- Ensure emergency trolley is stocked and items are replaced as used; complete the emergency stock list.
- Provide general assistance to clinical and non-clinical staff and project a positive, friendly image to patients and visitors.
- Facilitate effective communication between patients, primary and secondary care teams, and other healthcare agencies.
- Initiate contact with and respond to requests from patients, team members and other healthcare providers; keep reception areas tidy.

Qualifications (Essential):
- GCSE level or higher
