Bury Council is seeking a Central Services Coordinator to manage operations across various departments. This full-time role involves overseeing financial administration, project management, and compliance tasks, requiring strong organisational and leadership skills. Working Hours: Full Time (37 hours per week, full year working)
Grade: 10 SCP 24-27 (£34314- £37035) a pay award is pending.

The Central Services Coordinator will be at the heart of our trust's operations, working closely with senior leaders in Finance, HR, Teaching and Learning, and Operations. You'll be the driving force behind the efficient management of resources, coordinating central team workstreams to ensure tasks are prioritised and deadlines are met. This role demands a keen eye for compliance and exceptional organisational skills to successfully manage multiple workstreams in a dynamic and varied environment. Key Responsibilities:
Collaborate with senior leaders in Finance, HR, Teaching and Learning, and Operations to understand workstreams and strategic priorities and plan work accordingly.
Coordinate workstreams and demands within the Central Services Team to operationally support and deliver the trust’s aims.
Ensure compliance through the effective organisation and prioritisation of tasks centrally to meet required deadlines.
Qualifications and Skills:
Strong organisational and leadership skills with a keen eye for detail.
Ability to manage multiple priorities and workstreams.
Excellent communication and interpersonal skills.
Experience in financial resource management, general administration, ICT, human resources, facility and property management, and health and safety management.
Core Responsibilities and Tasks
Operational Management
Organise the office calendar with key dates and tasks using this to coordinate workstreams, track deadlines and priorities, and ensure compliance through timely task completion.
Provide high-level administrative support to include efficient handling of communications and the preparation or submission of data to meet statutory reporting deadlines.
Collate information and produce high-level and confidential letters, reports, guides, templates and minutes for a range of audience.
To support the relevant lead in quality assurance activities as directed.
Oversee the organisation of meetings, CPD, and events ensuring appropriate venues, hospitality, and ICT facilities are considered. Attendance may be required at out-of-hour events to support the smooth running of events.
Support the development and continual improvement of staff and services provided by the Trust Central team.
Financial Management
Oversee the central financial administration, ensuring all invoices and reconciliation is completed centrally within the required timeframes.
In collaboration with the Chief Financial Officer, support quality assurance activities, for example with accounts payable.
Review relevant trust documentation such as the trust-based contract register to identify the review and procurement of service contracts, leading on activities where needed.
To oversee the maintenance of Trust-based inventories in line with the Trust’s financial regulations and to participate in an annual inventory check of all items in each respective school site (peer led).
Trust wide administration of banking transactions.
Project Management:
Support and lead the planning and execution of Trust-wide projects and initiatives.
Human Resources
In collaboration with the HR Operational Lead, ensure the timely completion of HR processes and administration throughout the employee lifecycle, overseeing the team's adherence to deadlines and standards.
To review current HR related processes such as timesheet and payroll information submission to ensure this is accurate, timely and consistent trust wide.
Compliance and Governance:
Plan and prioritise tasks to meet deadlines and ensure compliance, working alongside the relevant executive lead as needed.
To identify and update appropriate policies in a timely manner, ensuring these are shared appropriately and effectively with stakeholders and across platforms such as SharePoint and websites in line with regulations.
To conduct, and participate in, internal audits identifying areas for improvement, either addressing or escalating compliance concerns with all relevant legislation and statutory guidance.
Support and develop the effective administration of governance ensuring we remain compliant with annual and publishing requirements.
Monitor and ensure compliance with health and safety regulations, conducting regular checks and addressing any issues promptly.
Review incident reports, supporting schools with any that are RIDDOR reportable and reviewing actions to mitigate risk, reporting on these as necessary.
Identify and appropriately document risks to the trust on our risk register.
Team Management:
Provide clear direction and leadership to the central services team to ensure all tasks are completed to a high standard. Support compliance with relevant regulations and deadlines through effective planning and prioritisation of tasks within the team to meet deadlines
Facilities and Estate Management
Work alongside the Trust Lead and commissioned services, assist in the strategic management and maintenance of trust estates, ensuring facilities are well maintained and meet operational needs.
Develop the lettings process to effectively support the CPD offer of the Trust.
ICT and Systems Management:
Support the efficient use of information technology systems, particularly Microsoft 365, SharePoint, and Teams across our trust.
Support the development of ICT systems, including cyber security initiatives across the Trust.
Support schools, as needed, in the implementation of trust wide processes, systems and procedures, aspiring for excellence in line with our Trust values.
Marketing and PR:
Oversee the regular production of trust wide communications including the staff newsletter.
Support the consistent marketing of the Trust in line with trust values and reputation.
Oversee the production of websites, logos, and templates in line with current templates and blueprints.
