Job description

We are looking for a highly motivated, caring andorganised individual to join our fast-paced reception and administrationdepartment to support the efficient day-to-day running of our practice over 3sites. The role is full-time Monday - Friday.

Main duties of the job

The role of Care Navigator/Receptionist at the Practiceencompasses a range of patient facing and admin duties. This includes answeringall incoming phone calls to the practice and queries at the front desk, makingphone calls and sending text messages/emails/letters, processing emails and website forms and completing all otheradmin duties required to provide our patients with the best care possible (seejob description for more details).

We are a large practice, operating over 3 sites,Coleford Health Centre, Brunston Surgery & Lydbrook Health Centre (13,500patients) with a passionate and committed team of GP partners, salaried GPs, ACP,triage nurses, clinical pharmacists, practice nurses, registered nurseassociates & TNA and HCAs.

Job responsibilities

Answering incoming calls from patients and any other third parties e.g. pharmacies, hospital, nursing homes

Dealing directly with patient and all other visitor queries on the front reception desk

Dealing with a wide variety of patient queries e.g. appointments, prescriptions, results, referrals and lab tests

Booking appointments for patients and considering demand and patient need in order to do this effectively e.g. home visits, telephone consultations

Making phone calls on behalf of clinicians e.g. asking patients to make an appointment

Communicating various clinical results to patients

Inputting appropriate coding and clinical data onto patient notes e.g. diagnoses, hospital admissions

Summarising medical records

Photocopying, filing, emailing and printing of patient related documents

Opening all incoming mail to the practice and distributing to all departments

Ordering clinical tests for patients

Effectively utilising the various practice clinical systems

Effectively utilising Microsoft packages

Chaperoning GP when required after training

Dispose of all confidential waste according to practice protocol

Any other duties as authorised by the Care Navigation/Reception Lead / Practice Manager

Navigate patients to the appropriate services using the practice care navigation policies

Computer

  • Registrations of new patients computer data entry and medical records
  • Process patients changes of address computer data and medical records (have knowledge of practice area)
  • Process repeat prescription requests in accordance with practice guidelines
  • Processing and dealing with computerised tasks from clinicians and any other members of the practice team
  • Enter new medical record data on to clinical computer as necessary
  • Process online patient registration for appointments and repeat prescriptions and website forms.

Other Tasks

Clear and re-stock rooms after surgeries

Ensure reception and waiting areas are kept clean and tidy and appropriate information is clearly displayed

Ensure building security have thorough knowledge of doors/windows/alarm

Act as a chaperone when required

Any other tasks allocated by office lead or practice manager

Experience
  • Experience of working in a fast paced environment, managing priorities.
  • Experience of working with the public face to face and over the phone.
  • Previous GP surgery experience (but open to other relevant transferable skill set experience as full training will be given on all aspects of role).

Qualifications
  • Educated to GCSE level standard or equivalent
